Job Summary
The Operations & Facility Coordinator is responsible for ensuring the smooth day-to-day operational support of the organization by managing inventory, coordinating logistics, maintaining facilities and equipment, and supporting administrative activities. The role requires strong organizational skills, vendor coordination, and the ability to manage multiple operational tasks efficiently.
Key Responsibilities
Inventory & Stock Management
- Maintain and monitor inventory levels of all operational and clinic supplies.
- Conduct periodic stock audits and reconcile inventory discrepancies.
- Maintain accurate stock records and generate inventory reports.
- Coordinate stock replenishment to prevent shortages.
Repairs & Maintenance
- Coordinate preventive and corrective maintenance for:
- Dental Chairs
- Electrical systems
- Plumbing
- Carpentry
- Electronic equipment
- Follow up with vendors and ensure timely completion of maintenance work.
- Maintain service history and AMC records.
Logistics & Courier Coordination
- Coordinate courier dispatches and incoming deliveries.
- Arrange stock deliveries between branches and warehouses.
- Manage shifting of equipment and inventory as required.
- Coordinate third-party logistics (3PL) vendors for transportation and deliveries.
Clinical Kit Management
- Coordinate delivery and return of:
- Implant Kits
- Laser Kits
- Orthodontic Bags
- Ensure kits are complete, properly maintained, and delivered on schedule.
Camp & Event Support
- Coordinate operational arrangements for dental camps and outreach programs.
- Ensure timely transportation of equipment, materials, and consumables.
- Liaise with internal teams for smooth event execution.
Cash Handling
- Collect cash from designated locations.
- Deposit collections into the bank as per company procedures.
- Maintain proper documentation and reconciliation records.
Facility Management
- Coordinate housekeeping and maid services.
- Schedule and monitor pest control activities.
- Coordinate water tank cleaning and maintenance.
- Ensure office and clinic facilities remain clean, safe, and operational.
Vendor Coordination
- Liaise with external vendors and service providers.
- Obtain quotations when required.
- Track vendor performance and service quality.
- Ensure timely completion of assigned work.
Documentation & Reporting
- Maintain maintenance logs, inventory records, and vendor documentation.
- Prepare periodic operational reports.
- Ensure compliance with company policies and operational procedures.
