Job Summary
The HR Executive – Recruitment & Joining is responsible for end-to-end recruitment, managing job portals, coordinating interviews, completing joining formalities, maintaining employee records, and supporting the HR department in attracting and onboarding qualified talent.
Key Responsibilities1. Recruitment
- Handle end-to-end recruitment for all departments.
- Understand manpower requirements from department heads.
- Prepare and update job descriptions.
- Post vacancies on job portals and social media.
- Source candidates through job portals, databases, employee referrals, consultants, and networking.
- Screen resumes and shortlist suitable candidates.
- Conduct telephonic and preliminary HR interviews.
- Coordinate technical and final interviews with department heads.
- Schedule interviews and communicate with candidates.
- Prepare interview feedback and maintain recruitment records.
- Negotiate salary within company guidelines.
- Prepare and issue offer letters.
- Follow up with selected candidates until joining.
- Maintain recruitment MIS and hiring reports.
- Build and maintain a talent pipeline for future vacancies.
2. Job Portal Management
- Manage company accounts on job portals
- Update job postings regularly.
- Search candidate databases using filters.
- Track applications and responses.
- Maintain recruitment advertisements.
- Monitor portal usage and subscription validity.
3. Joining & Onboarding
- Coordinate joining dates with candidates and department heads.
- Complete joining formalities.
- Verify educational and experience documents.
- Collect KYC documents, bank details, and statutory forms.
- Prepare employee personal files.
- Create employee codes and HRIS records.
- Coordinate induction programs.
- Explain company policies and HR procedures.
- Coordinate issuance of ID cards, uniforms, access cards, and email IDs.
- Ensure smooth onboarding of new employees.
4. Employee Documentation
- Maintain employee files (physical and digital).
- Ensure confidentiality of employee information.
5. HR Administration
- Support attendance and leave record management.
- Coordinate employee confirmations and probation reviews.
- Assist in employee engagement activities.
- Coordinate training schedules where required.
- Support statutory compliance documentation.
6. Exit Formalities
- Complete clearance formalities.
- Prepare full and final settlement documentation.
- Maintain employee separation records.
7. Reporting
- Prepare daily, weekly, and monthly recruitment reports.
- Monitor recruitment KPIs such as time-to-hire, cost-per-hire, offer acceptance ratio, and joining ratio.
- Provide manpower status updates to management.
Required Skills
- Strong communication and interpersonal skills.
- Good interviewing and candidate assessment skills.
- Knowledge of recruitment processes.
- Experience using job portals and LinkedIn.
- Proficiency in MS Excel, Word, and PowerPoint.
- Experience with HRMS/HRIS software is an advantage.
- Good organizational and documentation skills.
- Ability to manage multiple vacancies simultaneously.
Educational Qualification
- Graduate with HR specialization.
Experience
- 2–5 years of experience in recruitment and onboarding.
- Experience in manufacturing,export, or industrial recruitment is preferred.
