Job Purpose
The Senior Manager – Admin & Facility is responsible for overseeing the administration, facilities, infrastructure, and workplace services across the corporate office and branch locations. The role ensures efficient facility operations, statutory compliance, workplace safety, infrastructure maintenance, branch office setup, vendor management, and a seamless employee experience while driving operational excellence and cost optimization.
Key Responsibilities

Oversee the overall administration and facility management of the corporate office and all branch locations.

Ensure smooth day-to-day operations and maintenance of office infrastructure, utilities, and workplace services.

Lead the planning, setup, relocation, expansion, and maintenance of branch offices, ensuring timely project execution and operational readiness.

Manage preventive and corrective maintenance of buildings, electrical systems, HVAC, plumbing, DG sets, UPS, lifts, fire safety systems, and other facility assets.

Develop and implement administration policies, Standard Operating Procedures (SOPs), and facility management best practices.

Manage security operations, visitor management, access control systems, workplace safety, and emergency preparedness.

Ensure compliance with applicable statutory, regulatory, environmental, fire safety, labour, and SEZ requirements.

Oversee housekeeping, cafeteria, transport, parking, reception, and other workplace support services.

Manage vendor selection, contract negotiations, Annual Maintenance Contracts (AMCs), and monitor vendor performance against agreed service levels.

Prepare and manage administration and facility budgets while driving cost optimization initiatives.

Oversee procurement, inventory management, and lifecycle management of office assets and administrative resources.

Conduct periodic facility audits and ensure timely closure of maintenance observations.

Coordinate with internal stakeholders and external agencies to support infrastructure requirements and business continuity.

Lead, mentor, and develop the Admini & Facility team to ensure high standards of service delivery and operational efficiency.
Job Requirements

Bachelor's degree in Engineering, Business Administration, Facilities Management, or a related discipline. A postgraduate qualification will be an added advantage.

12–15 years of experience in Administration and Facility Management, including experience in managing large corporate offices, campuses, or multiple branch locations.

Proven experience in branch office setup, infrastructure management, vendor management, contract administration, and statutory compliance.

Strong understanding of facility operations, workplace safety, fire safety regulations, labour laws related to contract manpower, and applicable statutory requirements.

Demonstrated ability to manage budgets, optimize costs, and lead large-scale administration and facility operations.

Excellent leadership, stakeholder management, negotiation, project management, communication, and problem-solving skills.

Proficiency in Microsoft Office applications and facility management systems, with the ability to manage multiple priorities in a dynamic environment.
