Job Summary
The Executive Assistant & Front Office Executive will provide comprehensive administrative and operational support to the COO&ED (India). The role is also responsible for managing the Front Office and ensuring the smooth execution of all related administrative activities.
Key Responsibilities
Executive Support
- Handle confidential information with the highest level of integrity and discretion.
- Manage calendars, appointments, meetings, and travel arrangements for the COO and Executive Director.
- Coordinate internal and external meetings, including scheduling, agenda preparation, meeting room arrangements, and logistics.
- Maintain records, files, and executive documentation in an organized manner.
- Track action items and follow up with relevant departments to ensure timely completion.
- Screen calls, emails, and correspondence, prioritizing communications appropriately.
- Assist in preparing monthly reports, presentations, and management review documents.
Reception & Front Office
- Serve as the first point of contact for visitors, clients, vendors, and employees.
- Welcome guests professionally and coordinate visitor access.
- Maintain the reception area to ensure a professional appearance.
- Coordinate meeting room bookings and hospitality arrangements.
Administrative Support
- Coordinate travel bookings, hotel reservations, visas (if required), and expense claims.
- Support event planning, conferences, leadership meetings, and customer visits.
- Maintain office records, employee contact lists, and documentation.
- Liaise with internal departments and external service providers.
- Qualifications
Education
- Bachelors degree in business administration, Commerce, Management, or a related field.
- Diploma or certification in Office Administration is an added advantage.
Experience
- 1 - 5 years of experience as an Executive Assistant, Executive Secretary, Front Office Executive, or Receptionist supporting senior management.
- Experience supporting C-level executives or directors is preferred.
- Experience in a corporate or multinational environment is an advantage.

Pay: ₹200,000.00 - ₹400,000.00 per year
