About the Role
AVM Smiles Dental Clinic is seeking a dynamic and customer-focused Front Office Manager to oversee patient interactions, appointment management, and front desk operations. The ideal candidate should possess excellent communication skills, strong customer handling abilities, and a proven track record in lead conversion and relationship management.
Key ResponsibilitiesPatient & Customer Management
- Welcome and assist patients in a professional and friendly manner.
- Handle patient inquiries, appointments, and follow-ups.
- Ensure a seamless patient experience from consultation to treatment completion.
- Address patient concerns and coordinate with doctors and staff for effective resolution.
Lead Management & Conversion
- Manage incoming inquiries through calls, walk-ins, WhatsApp, and social media platforms.
- Follow up with prospective patients and convert inquiries into appointments.
- Track and maintain lead records and conversion reports.
- Coordinate promotional campaigns and patient engagement activities.
Front Office Operations
- Manage appointment scheduling and patient records.
- Maintain billing records and coordinate with the accounts team when required.
- Ensure cleanliness, organization, and smooth functioning of the reception area.
- Prepare daily, weekly, and monthly reports related to appointments and patient conversions.
Administrative Responsibilities
- Coordinate with doctors and clinic staff for daily operations.
- Maintain patient databases and documentation.
- Support management in improving patient satisfaction and clinic performance.
Required Skills & Qualifications
- Any Bachelor's Degree preferred.
- Minimum 1–3 years of experience in Front Office, Customer Relationship Management, Hospitality, Healthcare, or Sales.
- Strong communication and interpersonal skills.
- Experience in customer handling, counseling, or lead conversion.
- Proficiency in MS Office and basic computer applications.
- Ability to work in a target-oriented and patient-focused environment.
Preferred Candidates
- Candidates with experience in dental clinics, hospitals, healthcare centers, salons, wellness centers, or customer-facing roles.
- Strong follow-up and sales conversion skills.
- Immediate joiners will be preferred.
