Overview
We are seeking a dynamic and detail-oriented Executive HR (Documentation) professional to lead the management and organization of all human resources documentation processes. In this pivotal role, you will ensure the accuracy, compliance, and accessibility of employee records, contracts, policies, and related HR documentation. Your expertise will support strategic HR initiatives, streamline workflows, and uphold the highest standards of data integrity across our human capital management systems. Duties
- Oversee the creation, maintenance, and secure storage of all employee records, including employment contracts, performance evaluations, benefits documentation, and legal compliance files.
- Manage HRIS (Human Resources Information System) platforms such as Workday, SAP SuccessFactors, Oracle HCM, or UltiPro to ensure data accuracy and integrity.
- Coordinate with various departments to gather necessary documentation for onboarding, employee changes, terminations, and audits.
- Ensure compliance with employment laws such as FMLA (Family Medical Leave Act), OSHA (Occupational Safety and Health Administration), and labor regulations by maintaining up-to-date documentation.
- Support change management initiatives by updating policies and procedures; facilitate communication around documentation updates across teams.
- Assist in talent acquisition processes by managing applicant tracking systems (ATS) like iCIMS or Taleo; support onboarding documentation procedures.
- Conduct regular audits of HR files to ensure completeness and compliance; implement improvements for document management workflows.
Qualifications
- Proven experience in human resources management with a focus on documentation, data entry, or administrative support within HR environments.
- Strong knowledge of human capital management systems such as Workday, SAP SuccessFactors, Oracle HCM, ADP, Paychex, or similar platforms.
- Familiarity with employment & labor law regulations including FMLA, workers' compensation policies, OSHA standards, and affirmative action planning.
- Excellent organizational skills with the ability to manage multiple projects simultaneously while maintaining attention to detail.
- Effective communication skills for collaborating with cross-functional teams and conveying complex information clearly.
- Experience with project management tools and techniques to streamline HR processes and improve workflow efficiencies.
