We are looking for a highly organized, proactive, and detail-oriented Executive Assistant to support the Managing Director in managing daily operations, communications, scheduling, coordination, and follow-ups across departments. The ideal candidate should possess excellent communication, documentation, and stakeholder management skills, with the ability to handle confidential information professionally.
Key ResponsibilitiesExecutive Coordination & Follow-ups
- Maintain and manage the MD's delegation sheet and ensure timely completion of assigned tasks by respective teams.
- Follow up with department heads and team members to ensure closure of action items within committed timelines.
- Escalate pending matters proactively to facilitate timely resolution.
Meeting Management
- Coordinate and organize daily stand-up meetings with internal teams.
- Schedule and manage weekly review meetings (WTDL/Department Reviews).
- Prepare agendas, record Minutes of Meeting (MOM), track action items, and circulate updates.
Calendar & Schedule Management
- Manage the MD's calendar, appointments, meetings, travel plans, and event schedules.
- Provide timely reminders and ensure smooth coordination of commitments.
Documentation & Reporting
- Prepare reports, presentations, correspondence, business documents, and meeting summaries.
- Maintain accurate records, databases, trackers, and Google Sheets.
- Collect, analyze, and compile information required for management reviews and decision-making.
Communication Management
- Screen and manage calls, emails, and other communications on behalf of the MD.
- Maintain call logs and ensure timely follow-up on important communications.
- Coordinate with internal and external stakeholders professionally.
Administrative Support
- Arrange meetings, client visits, and corporate events.
- Maintain filing systems, reference documents, and confidential records.
- Support the MD in personal and administrative tasks as required.
Client Communication & Branding Support
- Coordinate the preparation and distribution of newsletters, emailers, and business communications.
- Assist in drafting professional communication materials.
Required Qualifications
- Bachelor's Degree in any discipline.
- Secretarial Practice/Executive Assistant qualification preferred.
- Candidates who have completed or pursued professional courses from institutes such as YMCA, ICSI, NIS, or other recognized Secretarial/Administrative Training Institutes will be preferred; however, this is not mandatory.
Experience Requirements
- Minimum 4 years of experience as an Executive Assistant, Personal Assistant, Executive Coordinator, or similar role.
- Experience supporting senior management, directors, or CXO-level executives will be preferred.
Required Skills
- Excellent verbal and written communication skills.
- Strong coordination, follow-up, and stakeholder management abilities.
- Proficiency in MS Office (Excel, PowerPoint, Word) and Google Workspace.
- Strong documentation, reporting, and presentation preparation skills.
- Excellent organizational and time-management skills.
- Ability to handle confidential information with discretion.
