- Greeting and Directing Visitors:Warmly welcoming guests and directing them to the appropriate person or department.
- Answering Phones:Managing incoming calls, directing them to the correct recipient, and taking messages.
- Handling Inquiries:Providing basic information about the company, services, or location, and directing more complex inquiries to the relevant personnel.
- Managing Check-ins and Check-outs:Processing guest registration, providing necessary information, and handling payments at check-out.
- Maintaining Reception Area:Ensuring the reception area is clean, organized, and well-stocked with necessary supplies.
- Addressing Guest Concerns:Handling complaints and resolving issues promptly and professionally.
Administrative Tasks:
- Scheduling Appointments: Managing calendars and scheduling appointments for staff.
- Managing Mail and Deliveries: Receiving, sorting, and distributing mail and packages.
- Data Entry and Filing: Performing basic data entry tasks and maintaining organized files.
- Assisting with Travel Arrangements: May assist with booking travel arrangements for staff.
- Maintaining Records: Keeping accurate records of visitors, mail, and other relevant information.
Other Responsibilities:
- Maintaining Security:Following security procedures and controlling access to the office.
- Providing Information:Providing information to clients, visitors, and staff about company policies, procedures, and services.
- Coordinating with Other Departments:Working with other departments to ensure smooth operations and guest satisfaction.
