Roles and Responsibilities
1. Front Desk Management
- Greet and welcome visitors, clients, and vendors with professionalism and warmth.
- Maintain the reception area to ensure it is clean, organized, and presentable at all times.
- Handle all incoming and outgoing phone calls and route them to the appropriate departments.
2. Visitor Coordination
- Maintain a visitor logbook and issue visitor passes.
- Inform the respective team/manager about visitor arrival.
- Coordinate with security for visitor access control if needed.
3. Call & Inquiry Handling
- Answer, screen, and forward calls politely and efficiently.
- Handle customer inquiries related to ongoing or upcoming projects and route them to the sales/CRM team.
- Provide basic project or company information if requested.
4. Mail & Courier Management
- Receive and distribute postal mails, packages, and couriers.
- Coordinate outgoing couriers and track delivery status.
- Keep records of dispatch and receipt registers.
5. Appointment Scheduling & Meeting Support
- Manage meeting room bookings and coordinate client appointments.
- Assist in preparing the meeting room for presentations, including refreshments and stationery.
- Maintain a daily appointment log for management reference.
6. Administrative & Clerical Support
- Assist in photocopying, scanning, printing, and filing documents.
- Provide support to HR, Admin, Sales, and other teams as needed.
- Help with basic data entry and CRM system updates if trained.
7. Coordination with CRM & Sales Team
- Inform CRM or sales executives about walk-in clients or calls for project inquiries.
- Ensure smooth handover of client details or appointment schedules to the sales team.
8. Office Coordination
- Keep track of office inventory such as stationery, pantry items, and visitor supplies.
- Report any facility issues to the admin or maintenance department.
9. Professional Conduct
- Maintain a polished appearance, good communication skills, and calm behavior under pressure.
- Ensure confidentiality and politeness when dealing with VIPs, clients, or internal staff.
Job Type: Full-time
Pay: ₹15,000.00 - ₹25,000.00 per month
