Job Summary:
The Admin & Travel Desk Executive will be responsible for managing day-to-day administrative activities and overseeing end-to-end travel arrangements for employees. This includes booking travel, managing itineraries, coordinating accommodations, processing travel reimbursements, and maintaining accurate records of travel bills. The role demands strong organizational and communication skills, attention to detail, and the ability to work under pressure.
Key Responsibilities:Administrative Responsibilities:
- General office administration and facilities management.
- Monitor office supplies and reorder as needed.
- Coordinate with vendors and service providers.
- Maintain office records, documents, and ensure compliance with company policies.
- Support employee onboarding with respect to seating, ID cards, access control, etc.
- Handle couriers, housekeeping, and cafeteria management (if applicable).
Travel Desk Responsibilities (End-to-End):
- Manage all business travel logistics including flights, trains, cabs, and hotel bookings.
- Coordinate with travel agencies and vendors for corporate travel deals and discounts.
- Prepare travel itineraries and communicate them to employees.
- Ensure cost-effective and policy-compliant travel bookings.
- Handle international travel requirements such as visa applications, forex, and insurance.
- Maintain travel records for audits and future references.
Travel Bills and Reimbursements:
- Collect and verify all travel bills and receipts submitted by employees.
- Cross-check with approved travel itineraries and company travel policies.
- Process and file travel expense reports and ensure timely reimbursements.
- Coordinate with the finance team for disbursement of travel claims.
- Address discrepancies and follow up with employees for missing documentation.
- Maintain accurate logs of expenses and travel-related costs.
Required Skills and Qualifications:
- Bachelor's degree in any discipline.
- 2+ years of experience in administrative support and travel coordination.
- Familiarity with corporate travel tools and systems.
- Good negotiation and vendor management skills.
- Proficiency in MS Office (Excel, Word, Outlook).
- Excellent communication and interpersonal skills.
- High attention to detail and problem-solving abilities.
- Ability to handle multiple tasks under tight deadlines.
Preferred Skills:
- Knowledge of travel management software (e.g., SAP Concur, Egencia).
- Prior experience in handling international travel logistics.
- Exposure to compliance/audit processes related to expense reporting.
