About the Role
We are looking for a proactive and customer-focused Operations & Customer Relations Executive to oversee the daily operations of our coworking space while ensuring an exceptional experience for members and visitors. The ideal candidate will be responsible for managing front-office operations, member engagement, facility coordination, and supporting business growth through excellent customer service.
Key ResponsibilitiesOperations
- Manage the day-to-day operations of the coworking space to ensure smooth functioning.
- Open and close the facility as per operating hours.
- Coordinate with housekeeping, security, maintenance, and internet service providers to ensure uninterrupted operations.
- Monitor office supplies, pantry stock, meeting room schedules, and workspace availability.
- Ensure all common areas, cabins, meeting rooms, and event spaces are clean, functional, and well-maintained.
- Coordinate with vendors for repairs, maintenance, and procurement.
- Maintain operational records, invoices, and basic administrative documentation.
- Support the planning and execution of community events and networking sessions.
Customer Relations
- Welcome prospective clients, members, and visitors with a professional and friendly approach.
- Conduct coworking space tours and explain membership plans, facilities, and services.
- Handle member onboarding, documentation, and workspace allocation.
- Respond promptly to inquiries received through phone, email, WhatsApp, and social media.
- Address member concerns and resolve issues efficiently to ensure a positive experience.
- Build strong relationships with members and encourage community engagement.
- Collect feedback and recommend improvements to enhance member satisfaction.
- Follow up with leads and assist the sales team in converting inquiries into memberships.
Administration
- Maintain member records and update CRM or management software.
- Assist with billing, membership renewals, and payment follow-ups.
- Prepare daily and monthly operational reports.
- Ensure compliance with company policies and safety procedures.
Qualifications
- Bachelor's degree in Business Administration, Hospitality, Commerce, or a related field.
- 1–3 years of experience in operations, customer service, hospitality, coworking, or office administration.
- Fresh graduates with excellent communication skills and a customer-centric attitude may also apply.
Required Skills
- Excellent communication skills in English and Malayalam (Hindi is an added advantage).
- Strong interpersonal and relationship-building abilities.
- Good organizational and multitasking skills.
- Proficiency in Microsoft Office and Google Workspace.
- Familiarity with CRM software is an advantage.
- Ability to work independently and take ownership of daily operations.
- Professional appearance and a positive, service-oriented attitude.
