Position: Inventory Checking & Purchase Order Executive

Key Responsibilities
- Inventory Management
- Maintain accurate records of all inventory items.
- Conduct daily, weekly, and monthly physical stock verification.
- Monitor stock levels and identify shortages or excess inventory.
- Update inventory records in the ERP or stock register.
- Ensure proper storage and labeling of materials.
- Stock Verification
- Verify the quantity and condition of items received.
- Compare physical stock with inventory records and report discrepancies.
- Prepare stock verification reports for management.
- Coordinate with department heads during inventory audits.
- Purchase Order (PO) Management
- Receive purchase requisitions from departments.
- Verify the requirement and stock availability before initiating purchases.
- Prepare Purchase Orders (POs) after obtaining necessary approvals.
- Follow up with vendors regarding order confirmation and delivery schedules.
- Ensure purchased items match the approved specifications and quantities.
- Vendor Coordination
- Maintain vendor database and contact details.
- Obtain quotations from suppliers.
- Compare quotations based on price, quality, and delivery.
- Coordinate with vendors for timely supply and issue resolution.
- Goods Receipt & Documentation
- Verify delivered materials against the Purchase Order and invoice.
- Prepare Goods Receipt Notes (GRN).
- Maintain records of POs, invoices, delivery challans, and stock registers.
- Submit documents to the Accounts Department for payment processing.
- Reporting
- Generate inventory and purchase reports.
- Highlight slow-moving, obsolete, and critical stock items.
- Report stock shortages and procurement status to management.
- Compliance
- Follow institutional purchase policies and approval procedures.
- Assist during internal and external audits.
- Ensure proper documentation for all procurement activities.
Required Skills
- Knowledge of inventory and store management.
- Experience in preparing Purchase Orders and maintaining records.
- Good knowledge of Microsoft Excel and ERP software.
- Strong communication and negotiation skills.
- Attention to detail and accuracy.
- Good organizational and record-keeping skills.
Qualification
- Bachelor's Degree in Commerce, Business Administration,Mba Finance or any relevant discipline.
- 1–3 years of experience in inventory, stores, or purchase (experience in an educational institution is preferred).
Pay: ₹25,000.00 - ₹40,000.00 per month
