Job Summary
The Coordinator – Depot Operation is responsible for managing the efficient transfer of goods from larger trucks to smaller vehicles for last-mile delivery, ensuring timely execution of route plans, and maintaining smooth dock operations. This role involves coordinating with transporters, monitoring vehicle movements, ensuring accurate documentation, and optimizing delivery schedules in an FMCG distribution environment.
Roles & Responsibilities
Docking & Transfer Operations
- Supervise the transfer of goods from bulk transport vehicles to smaller delivery trucks.
- Ensure timely and efficient docking operations to minimize turnaround time.
- Monitor proper handling and stacking of goods during vehicle transfers.
- Coordinate with transport teams to align docking schedules with delivery plans.
Route Planning & Delivery Coordination
- Work with the logistics team to execute daily route plans for last-mile deliveries.
- Ensure timely dispatch of delivery vehicles based on optimized route schedules.
- Track vehicle movements to ensure on-time deliveries to assigned locations.
- Address and resolve any last-minute route changes or delivery delays.
Documentation & Compliance
- Ensure all transport documents, waybills, and e-way bills are properly processed.
- Maintain accurate records of vehicle dock-in and dock-out times.
- Ensure compliance with safety regulations and legal requirements for transport.
- Monitor and enforce adherence to company SOPs for docking and dispatch activities.
Vehicle & Transporter Coordination
- Liaise with transport service providers to allocate suitable vehicles for deliveries.
- Ensure vehicles are loaded according to weight and volume capacity to avoid overload issues.
- Track vehicle availability and ensure proper scheduling for seamless operations.
- Address any vehicle-related delays or breakdowns and arrange alternative transport solutions.
Operational Efficiency & Reporting
- Monitor dock utilization and identify process improvements to reduce waiting times.
- Generate daily reports on vehicle movements, dispatch schedules, and transit times.
- Identify bottlenecks in docking and routing processes and suggest optimization measures.
- Assist in implementing technology-driven tracking systems for delivery operations.

Educational Qualifications & Experience
Minimum Qualification
Bachelor’s Degree / Diploma in Logistics, Supply Chain, or Transport Management.
Preferred Qualification
Certification in Logistics & Transportation / Route Planning Software Training.
Experience
3-5 years in depot operations, transport scheduling, or dispatch coordination in FMCG logistics.
