Job description:
1. Handle office accounts, including staff salaries and the petty cash register.
- Maintain accurate records of all financial transactions and update them regularly.
- Prepare and submit financial reports as required by management.
2. Records Management:
- Maintain all office files and documents in an organized and proper manner.
- Implement an index system for easy retrieval of office records when needed.
3. Inventory Management Software: Familiarize yourself with inventory management software systems to efficiently track, manage, and update inventory levels.
4. Supply Chain : Supply chain management, including procurement, storage & distribution.
5. Organization and Classification: Develop effective methods for categorizing, labelling, and organizing inventory items to facilitate easy retrieval and monitoring.
6. Receiving and Inspection: Learn proper receiving procedures, including inspecting incoming shipments for accuracy and quality.
7. Documentation: Maintain accurate and up-to-date records of inventory transactions, stock levels, and movement.
8. Reporting: Generate regular reports on inventory status, usage, trends, and any issues to inform decision-making.
9. Team Collaboration: Collaborate with purchasing, operations, and finance teams to ensure accurate inventory information and seamless operations.
10. Communication Skills: Communicate effectively with suppliers, vendors, and other internal departments regarding orders, deliveries, and stock availability.
11.Overseeing the daily Operations of the store including ordering merchandise, managing inventory levels.
12. Making sure that all liquor store employees follow company policies regarding pricing, stocking, and customer service.
13. Coordinating with vendors to ensure timely delivery of product.
14. Coordinating office activities and operations to secure efficiency and compliance to company policies.
15. Manage agendas/travel arrangements/appointments etc. for the upper management.
16. Manage phone calls and correspondence (e-mail, letters, packages etc.)
17 Supervising administrative staff and dividing responsibilities to ensure performance.
18 Undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently
19. Create and update records and databases with personnel, financial and other data.
20. Track stocks of office supplies and place orders when necessary.
21. Submit timely reports and prepare presentations/proposals as assigned.
22. Assist colleagues whenever necessary.
23. Supervising administrative staff and dividing responsibilities to ensure performance.
24. Undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently
