Job Title: Front Office Executive – Ready Mix Concrete (RMC)
Location: Plant / Hanspal / Corporate Office/ Bhubaneswar
Department: Administration / Customer Service
Reporting To: Plant Manager/Plant In- charge.
Job Summary
The Front Office Executive will manage customer interactions, coordinate with the sales and dispatch teams, maintain documentation related to orders and billing, challan entry, and ensure smooth front-desk operations at the RMC plant or office. This role requires excellent communication, record-keeping, and coordination skills to support daily business operations.
Key Responsibilities
1. Front Desk & Customer Handlings
· Greet and assist walk-in customers, visitors, suppliers, and drivers.
· Handle customer inquiries regarding RMC orders, pricing, delivery status, and schedules.
· Receive and communicate order requests to the sales and dispatch departments.
2. Order & Dispatch Coordination
· Coordinate with batching plant, logistics, and sales team for order scheduling.
· Update customers on dispatch timing, delivery status, and delays.
· Maintain daily records of RMC production, dispatch, transit mixer movement, and delivery challans.
3. Documentation & Record Keeping
· Prepare sales orders, delivery challans, invoices, and customer receipts.
· Maintain logs for truck movement, driver attendance, and fuel records.
· Keep systematic records of daily production, dispatch statements, and customer confirmations.
4. Billing & Payment Method
· Assist in invoice preparation and submission.
· Follow up for payments and update the accounts team.
· Maintain petty cash, gate pass records, and vendor bill entries as required.
5. Administrative Support
· Manage phone calls, emails, courier handling, and office supplies.
· Coordinate meetings, plant visits, and communication between departments.
· Assist HR/Administration with attendance, documentation, and office management.
6. Compliance & Safety procedure
· Ensure visitor entry logs and plant safety guidelines are followed.
· Coordinate with security for vehicle entry/exit and documentation checks.
· Interaction with drivers, customers, engineers, and plant staff.
Educational Qualification
· Graduate in any discipline (preferably BBA,B. Com, BA).
· Diploma in Office Administration (optional).
Experience
· 1–4 years of experience in front office/admin roles.
· Experience in construction, RMC, cement, infrastructure industries is preferred.
Key Skills
· Strong communication & customer handling skills.
· Good knowledge of MS Office (Excel, Word) and basic ERP/CRM systems.
· Strong coordination and multitasking ability.
· Knowledge of RMC dispatch process (preferred).
· Basic financial and billing understanding.
Salary Range
- As per industry standards (Expertise & experience).
Job Type: Full-time
Pay: ₹22,000.00 - ₹23,000.00 per month
