We are looking for a highly organized and detail-oriented Procurement Specialist to join under the business domain Global Surf IT Infrastructure (https ://www.gs-it.ae/). The ideal candidate will be responsible for managing procurement activities, coordinating with suppliers, maintaining pricing and quotation records, and supporting vendor management processes. The role involves ensuring accurate documentation, competitive pricing, timely procurement support, and maintaining updated supplier and product information to support business operations.
Key Responsibilities
- Prepare and maintain pricing sheets, cost comparisons, quotation records, and commercial documents.
- Assist in coordinating with vendors to obtain competitive prices and support price negotiations.
- Collect, organize, and upload supplier quotations, cost sheets, approved prices, and supporting documents in the CRM.
- Update supplier prices, product details, discounts, warranty terms, delivery timelines, and vendor databases.
- Create and maintain CRM records for pricing requests, opportunities, vendor quotations, approvals, and procurement activities.
- Ensure all pricing documents are accurately named, classified, filed, and easily retrievable.
- Verify product details, quantities, prices, taxes, delivery terms, and warranty information before documentation.
- Track quotation validity, pricing revisions, pending approvals, and expired quotations.
- Maintain proper version control to prevent the use of outdated pricing information.
- Support the pricing and sales teams with approved prices, product details, and quotation references.
- Prepare periodic reports on pending pricing requests, completed documents, approvals, and CRM updates.
- Maintain confidentiality of supplier pricing, company margins, customer details, and commercial records.
- Follow company procedures for document control, approvals, record retention, and audit requirements.
Key Skills & Qualifications
- Bachelor’s degree in business administration, Supply Chain Management, Procurement, Commerce, or a related field.
- 2–4 years of experience in procurement, purchasing, vendor coordination, or a similar role.
- Strong understanding of procurement processes, supplier management, and commercial documentation.
- Good knowledge of preparing quotations, purchase records, cost comparisons, and maintaining procurement-related documents.
- Ability to coordinate with suppliers, negotiate pricing, and maintain effective vendor relationships.
- Strong proficiency in MS Office applications, especially MS Excel for data management, analysis, and reporting.
- Experience working with ERP/CRM systems for maintaining supplier records, purchase data, and documentation.
- Strong attention to detail and accuracy in handling procurement documents and data.
- Good organizational skills with the ability to manage multiple tasks and deadlines.
- Good communication and coordination skills with vendors and internal teams.
Pay: Up to ₹35,000.00 per month
