About the Role
Arch Recruiters is hiring an experienced Administration & Facilities Manager for one of our prestigious clients. We are looking for a highly organized and proactive professional to oversee office administration, facilities management, vendor coordination, budgeting, employee support, travel management, and workplace operations. The ideal candidate should have excellent leadership, vendor management, and problem-solving skills while ensuring smooth day-to-day administrative functions.
Key ResponsibilitiesBuilding & Infrastructure Management
- Oversee the maintenance, repairs, and upkeep of office buildings and infrastructure.
- Ensure HVAC, plumbing, electrical systems, and office equipment are functioning efficiently.
- Conduct regular facility inspections and ensure observations are resolved on priority.
- Plan office space utilization and workplace layouts for maximum efficiency.
Vendor & Contractor Management
- Identify, negotiate, and manage contracts with vendors and service providers.
- Monitor vendor performance and ensure compliance with Service Level Agreements (SLAs).
- Coordinate housekeeping, security, maintenance, and other outsourced services.
- Ensure timely completion of facility-related work and service requests.
Cost & Budget Management
- Prepare and monitor annual administration and facility budgets.
- Maintain MIS reports for monthly budget tracking and operational expenses.
- Control facility-related costs while identifying opportunities for cost optimization.
- Monitor electricity and water consumption to improve operational efficiency.
Employee Support & Workplace Experience
- Ensure office supplies, pantry, washrooms, and employee amenities are maintained.
- Address employee concerns related to workplace comfort, infrastructure, and facilities.
- Create and maintain a safe, organized, and productive work environment.
Safety & Compliance
- Ensure compliance with health, safety, environmental, and company regulations.
- Conduct regular safety audits and coordinate corrective actions.
- Maintain workplace security standards and ensure compliance with company policies.
Event & Travel Coordination
- Organize company meetings, training sessions, conferences, and corporate events.
- Manage domestic and international travel bookings, including flights, hotels, and transportation.
- Coordinate meeting logistics and ensure smooth execution of company events.
Fleet & Transportation Management
- Oversee company vehicles, including maintenance, servicing, fuel management, and documentation.
- Manage driver scheduling, attendance, overtime, and routing.
- Coordinate outsourced cab services whenever required and maintain related records.
Team Coordination
- Coordinate with cross-functional teams to ensure timely completion of administrative tasks.
- Support business operations by resolving day-to-day administration-related issues efficiently.
- Drive continuous improvement initiatives for office operations and employee experience.
Required Skills
- Strong administration and facilities management expertise.
- Excellent vendor and contract negotiation skills.
- Budget planning, MIS reporting, and cost control experience.
- Knowledge of workplace safety and compliance regulations.
- Strong leadership, communication, and stakeholder management skills.
- Excellent organizational and multitasking abilities.
- Proficiency in MS Office and reporting tools.
Preferred Qualifications
- Bachelor's degree in Business Administration, Facility Management, or a related field.
- 8–12 years of experience in Administration, Facilities Management, or Corporate Services.
- Experience managing corporate offices, vendors, travel, and facility operations.
- Prior team handling experience is highly preferred.
