- We are looking for a dynamic and highly organized Administration Executive to provide Administrative and Trading support to HQ Team at Chandigarh led by the Managing Director.
The ideal candidate will have strong communication skills, high proficiency in Microsoft Office (especially Word and Excel), and the ability to manage multiple priorities with discretion and professionalism.
Key Responsibilities:
Office Administration
- Maintain office infrastructure and oversee repairs and maintenance.
- Manage housekeeping operations and office correspondence (emails, letters, packages).
- Conduct internal audits for office upkeep and resource utilization.
- Assist in the preparation of purchase orders
- Maintain accurate records of admin expenses
Vendor & Payment Management
- Coordinate with vendors for cabs, office supplies, stationery, etc.
- Ensure timely procurement and manage inventories of office essentials (business cards, notepads, stamps, etc.).
- Liaise with accounts for reconciliation and corporate credit card expense rep
Travel Coordination
- Arrange domestic and international travel (air tickets, hotels, car rentals, visa, forex).
- Handle travel reimbursements and travel expense reports.
- Negotiate rates and maintain contracts with hotels and cab vendors.
Support in Trading Department
- Provide operational support to the Bio-diesel trading function by coordinating with supply chain partners and suppliers for timely tracking of export shipments and collection of required documentation.
- Maintain accurate and updated trading records, documentation, and MIS/spreadsheets to ensure smooth operational flow and reporting.
- Act as a coordination point between the Accounts and Trading departments to facilitate effective communication and timely resolution of operational matters.
Qualifications & Skills
- Bachelor’s or master’s degree in commerce.
- Minimum 4–5 years of experience in an Administration role.
- Strong working knowledge of Microsoft Excel, including data management, reporting, reconciliation, and spreadsheet maintenance.
- High degree of professionalism, discretion, flexibility and interpersonal skills.

Pay: ₹600,000.00 - ₹800,000.00 per year
