Role Overview
The Batch Success Manager (BSM) is responsible for ensuring every learner in an assigned batch/cohort successfully progresses through the program—from onboarding to course completion and outcomes (projects, certifications, internships/placements readiness).
This role sits at the intersection of student experience, academic operations, and outcome management. You’ll monitor learner engagement, track progress, coordinate with instructors/mentors, resolve learner blockers, and drive batch-level performance metrics like attendance, completion, satisfaction, and retention.
Key Responsibilities1) Batch Ownership & Learner Journey
- Own the end-to-end success of assigned batches (cohorts), ensuring learners stay engaged and on track.
- Conduct learner onboarding: program expectations, schedules, tools access, and learning plan orientation.
- Maintain a structured rhythm for the batch (weekly check-ins, reminders, milestone tracking).
2) Engagement, Retention & Intervention
- Track attendance, assignment completion, quiz performance, and participation.
- Identify at-risk learners early and run interventions (1:1 calls, action plans, mentor support, schedule recovery).
- Handle escalations with empathy and speed (academic concerns, motivation issues, support requests, policy clarity).
3) Coordination with Faculty, Mentors & Internal Teams
- Coordinate with instructors/mentors on learner progress, doubt resolution, and session quality.
- Ensure sessions run smoothly: scheduling, attendance, learner communication, and issue resolution.
- Partner with content, product/LMS, operations, and placement/career teams to ensure learners get timely support.
4) Communication & Community Building
- Maintain consistent learner communication via WhatsApp/Slack/Email/LMS announcements.
- Create a supportive cohort culture through peer learning, accountability groups, challenges, events, and recognition.
- Collect learner feedback and ensure concerns are closed-looped.
5) Data, Reporting & Process Improvement
- Own batch dashboards and weekly reports: attendance, completion, NPS/CSAT, risk list, outcomes.
- Drive continuous improvements: playbooks, SOPs, comms templates, escalation workflows.
- Share insights on learner behavior and program gaps to improve curriculum delivery and experience.
Required Skills & Qualifications
- 2–6 years experience in Student Success / Customer Success / Program Management / Operations / EdTech
- Strong people skills: empathy, active listening, conflict handling, learner motivation
- Excellent communication (written + verbal), comfortable with high-volume learner coordination
- High ownership mindset and strong follow-through
- Comfort with metrics and reporting (Google Sheets/Excel; basic dashboards)
- Ability to manage multiple batches, priorities, and stakeholder expectations
Preferred / Nice-to-Have
- Experience in coding bootcamps, tech training programs, cohort-based learning, or higher-ed operations
- Familiarity with tools like LMS (Moodle/Canvas/etc.), CRM (Zoho/HubSpot), Slack/Discord, ticketing tools
- Basic understanding of tech roles (Full Stack, Data, Cloud, QA, UI/UX) to guide learner pathways
- Experience running interventions and retention playbooks
