- First Response: Contact new leads promptly (via phone, WhatsApp, or email) coming from property portals, social media ads, or website forms.
- Lead Qualification: Assess the buyer’s budget, preferred location, property type (e.g., 2 BHK vs 3 BHK), purchase timeline, and financing needs.
- Property Information Sharing: Send brochures, floor plans, pricing sheets, and virtual tour videos to interested prospects.
- Continuous Interaction: Maintain warm, regular communication with potential buyers, answering initial questions and keeping the property top-of-mind.
B. Site Visit Coordination & Logistics
- Scheduling: Fix convenient date and time slots for prospective clients to visit the project or property site.
- Confirmation & Reminders: Send route maps, site location pins, and visit confirmation messages to clients ahead of time.
- Sales Handover: Assign an on-site Field Sales Executive or Relationship Manager to receive the client upon arrival, sharing the client's preferences with them beforehand.
- Logistics Support: Coordinate transportation or cab pick-ups for VIP clients if the company offers site-visit assistance.
C. Post-Visit Follow-Up & CRM Management
- Feedback Collection: Contact the client after the visit to gather their feedback, gauge their interest level, and address any immediate concerns.
- CRM Operations: Log every call, status update, visit date, and client note into the CRM system (e.g., Salesforce, HubSpot, Sell.Do).
- Pipeline Tracking: Flag high-intent ("hot") leads for senior sales managers to step in for deal negotiation and closing.
D. Administrative & Sales Support
- Sales Reporting: Prepare weekly or monthly reports on total leads received, site visits scheduled, visits completed, and lead-to-visit conversion rates.
- Inventory Tracking: Stay updated on current unit availability, ongoing discounts, payment plans, and promotional offers.
- Team Alignment: Serve as the central communication channel between marketing teams (who generate leads) and field sales teams (who close deals).
2. Key Performance Indicators (KPIs)
A Business Coordinator in this role is typically evaluated on:
- Lead Response Time: How quickly new leads are contacted after submitting an inquiry.
- Site Visit Conversion Rate: Percentage of qualified leads successfully converted into completed site visits.
- Visit Attendance Rate: Percentage of scheduled site visits where the customer actually shows up.
