Executive Assistant to Founders

Job Summary
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive administrative and executive support to the Founders. The ideal candidate will be responsible for managing schedules, coordinating meetings, handling confidential information, and ensuring the smooth execution of day-to-day business operations.
Key Responsibilities
Executive & Administrative Support
- Manage the Founders' calendars, appointments, and daily schedules.
- Coordinate domestic travel arrangements, hotel bookings, and travel itineraries.
- Prepare reports, presentations, business correspondence, and other executive documents.
- Maintain organized filing systems and confidential records.
- Screen and manage incoming calls, emails, and other communications, ensuring timely responses.
Coordination & Stakeholder Management
- Serve as the primary point of contact between the Founders and internal/external stakeholders.
- Schedule and coordinate meetings, conferences, client interactions, and business events.
- Prepare meeting agendas, record minutes, and track follow-up action items.
- Liaise with vendors, clients, consultants, and cross-functional teams to ensure seamless coordination.
Executive Support & Confidentiality
- Handle sensitive and confidential information with the highest level of discretion and professionalism.
- Prioritize tasks, communications, and requests on behalf of the Founders.
- Assist in preparing business proposals, strategic presentations, and other executive-level documents.
- Support day-to-day executive operations by ensuring timely completion of assigned tasks and deadlines.
Requirements
- Bachelor's degree preferred.
- 2–4 years of experience as an Executive Assistant, Personal Assistant, or in a similar administrative role.
- Excellent verbal and written communication skills.
- Strong organizational, planning, and time-management abilities.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and/or Google Workspace.
- Ability to manage multiple priorities in a fast-paced environment.
- High level of professionalism, integrity, and confidentiality.
- Strong attention to detail and problem-solving skills.
Preferred Skills
- Experience supporting senior leadership or founders.
- Strong coordination and stakeholder management abilities.
- Ability to work independently with minimal supervision.
- Excellent follow-up, multitasking, and decision-making skills.
