Roles & Responsibilities
Project Coordination & Support
Support Project Managers and Consultants in the planning, execution, and delivery of projects.
Coordinate project activities across multiple workstreams and stakeholders.
Track project milestones, deliverables, and key deadlines.
Ensure project activities are progressing according to agreed timelines.
Assist in maintaining project plans, schedules, and trackers.
Meeting Management
Schedule and coordinate client, consultant, and internal project meetings.
Prepare and distribute meeting agendas.
Capture and document Minutes of Meeting (MoM).
Track and follow up on action items arising from meetings.
Ensure stakeholders are informed of meeting schedules and outcomes.
Stakeholder Coordination
Act as a central point of coordination between clients, consultants, project managers, and technical teams.
Gather project updates from various teams and stakeholders.
Facilitate communication and information sharing across project teams.
Escalate delays, risks, and dependencies to the appropriate stakeholders.
Status Reporting & Communication
Collect weekly progress updates from project teams.
Consolidate project information into status reports and dashboards.
Prepare and distribute Weekly Status Reports (WSR) and Monthly Status Reports (MSR).
Support the creation of executive summaries and governance reports.
Communicate project progress, risks, and achievements to stakeholders.
Task & Action Tracking
Maintain project action logs and task trackers.
Monitor completion of assigned tasks and deliverables.
Follow up with team members on outstanding actions.
Highlight overdue activities and support resolution planning.
Documentation Management
Maintain project documentation repositories and records.
Organize and manage project documents, presentations, and reports.
Ensure project documentation is accurate, up-to-date, and accessible.
Support version control and document governance processes.
Client Engagement Support
Coordinate project communications with clients.
Assist in preparing client presentations and meeting materials.
Track client feedback, approvals, and decisions.
Ensure timely responses to client requests and queries.
Governance & Compliance Support
Support project governance activities and review meetings.
Maintain RAID logs (Risks, Assumptions, Issues, and Dependencies).
Track project risks, issues, and mitigation actions.
Assist in ensuring adherence to project management standards and processes.
Resource & Delivery Coordination
Coordinate resource schedules and availability.
Track project resource allocations and utilization.
Support onboarding and offboarding activities for project team members.
Assist in managing project dependencies across teams.
Reporting & Analytics
Generate project performance reports and dashboards.
Analyze project data to identify trends, risks, and improvement opportunities.
Support leadership reporting requirements.
Maintain accurate project metrics and delivery records.
