1. JOB PURPOSE
The Academic Counsellor is responsible for guiding prospective students and parents regarding academic programmes offered by Chanakya Business School. The role involves understanding students' educational and career requirements, explaining suitable programmes, handling counselling sessions, following up with prospective students, and supporting the admission process.
The Academic Counsellor should maintain professional communication with students and parents and ensure a smooth experience from the initial enquiry until admission.
2. KEY RESPONSIBILITIESA. Student Counselling
- Counsel prospective students through telephone, WhatsApp, online meetings, and face-to-face interactions.
- Understand the student's educational background, interests, career goals, and requirements.
- Recommend suitable courses/programmes based on the student's needs.
- Clearly explain course structure, eligibility, duration, fees, career opportunities, and other relevant information.
- Address students' and parents' questions professionally.
- Build trust and maintain positive relationships with prospective students.
- Provide accurate information without making false commitments.
B. Admission Support
- Guide students through the complete admission process.
- Explain admission requirements and documentation.
- Coordinate with the concerned departments for admission-related activities.
- Assist students in completing the required admission formalities.
- Ensure proper follow-up until the admission process is completed.
- Maintain accurate records of counselling and admission status.
C. Lead Follow-Up
- Follow up regularly with prospective students who have shown interest in programmes.
- Contact students who have not responded to previous calls/messages.
- Maintain proper follow-up schedules.
- Record call outcomes, student responses, and next follow-up dates.
- Reconnect with students who require additional information before making an admission decision.
- Ensure that no assigned enquiry is left unattended.
D. Student & Parent Communication
- Communicate professionally with students and parents.
- Respond to enquiries within the expected time.
- Explain programme-related information clearly and confidently.
- Handle concerns and objections politely.
- Maintain a positive image of Chanakya Business School during all interactions.
E. Coordination with Academic Team
- Coordinate with Academic Coordinators regarding student requirements and academic-related queries.
- Forward academic queries requiring detailed clarification to the appropriate academic team member.
- Coordinate student interactions, campus visits, counselling sessions, and other required activities.
- Ensure proper communication between students, Academic Coordinators, and other concerned departments.
F. Documentation & Reporting
- Maintain daily records of calls, counselling sessions, follow-ups, and admissions.
- Update the assigned lead/student database regularly.
- Submit daily/weekly work reports to the reporting manager.
- Maintain accurate information regarding student status.
- Update records immediately after important student interactions.
- Prepare follow-up lists for pending enquiries.
G. Student Relationship Management
- Maintain regular communication with students during the admission process.
- Ensure students receive proper guidance and support.
- Build long-term professional relationships with students and parents.
- Assist students with relevant information even after initial counselling when required.
- Escalate unresolved issues to the Academic Coordinator or concerned authority.
3. DAILY WORK RESPONSIBILITIES
The Academic Counsellor is expected to:
- Check assigned enquiries/leads at the beginning of the day.
- Contact new prospective students.
- Conduct counselling calls/sessions.
- Follow up with previous enquiries.
- Contact unanswered/non-responsive students again as per the follow-up schedule.
- Respond to WhatsApp and other student enquiries.
- Update student/lead status after every interaction.
- Coordinate with Academic Coordinators regarding academic queries.
- Track students progressing towards admission.
- Submit the daily work report to the reporting manager.

5. QUALIFICATION & EXPERIENCE
Education:
Bachelor's degree in any relevant discipline. Candidates with qualifications in education, management, psychology, communication, or related fields may be preferred.
Experience:
1–3 years of experience in academic counselling, student counselling, admissions, education sales, customer relationship management, or a similar role is preferred.
Freshers with strong communication and counselling skills may also be considered.
6. KEY PERFORMANCE INDICATORS (KPIs)
Performance will be evaluated based on:
- Number of enquiries contacted.
- Quality and effectiveness of counselling.
- Follow-up completion rate.
- Response rate from prospective students.
- Number of counselling sessions conducted.
- Admission conversion.
- Timely updating of student/lead records.
- Accuracy of information provided.
- Student/parent satisfaction.
- Daily reporting and work discipline.
- Coordination with Academic Coordinators.
- Achievement of assigned admission targets.
7. WORK ETHICS & RESPONSIBILITIES
The Academic Counsellor must:
- Maintain confidentiality of student information.
- Provide only accurate and approved information.
- Avoid making unauthorised commitments regarding fees, scholarships, placements, or academic matters.
- Maintain professional behaviour with students, parents, colleagues, and management.
- Follow the policies and SOPs of Chanakya Business School.
- Maintain punctuality and regular attendance.
- Complete assigned work within the given timelines.
- Immediately report important student concerns to the reporting manager.
8. ROLE EXPECTATION
The Academic Counsellor is expected to act as a professional point of contact between prospective students and Chanakya Business School, ensuring that every student receives proper guidance, timely communication, systematic follow-up, and a smooth admission experience.
The counsellor should focus not only on admission conversion but also on providing students with genuine and appropriate academic guidance.
Pay: From ₹18,000.00 per month
Work Location: In person
