Position: Executive / Senior Executive – Trims Purchase

Job Purpose
To ensure uninterrupted availability of chemicals, dyes, consumables, trims, and other raw materials required for the Printing & Embroidery Unit through efficient procurement, inventory management, vendor coordination, and system-driven process controls. The role focuses on strengthening SOP compliance, improving inventory visibility, ensuring timely invoice processing, and driving operational excellence through ERP-based controls.
Key Responsibilities:
- Process purchase requisitions/indents and convert them into Purchase Orders (POs) within defined timelines.
- Ensure timely procurement of chemicals, dyes, consumables, trims, and other production requirements.
- Coordinate with vendors and internal stakeholders to ensure on-time delivery of materials.
- Monitor purchase schedules and follow up for pending supplies.
- Ensure adherence to procurement policies, procedures, and approval matrices.
Inventory Management
- Maintain accurate inventory records through ERP systems.
- Monitor stock levels, reorder points, safety stock, and consumption patterns.
- Ensure physical stock and system stock reconciliation with minimal variance.
- Track slow-moving, non-moving, excess, and near-expiry inventory and initiate corrective actions.
- Monitor leftover stocks and validity periods of chemicals, dyes, and consumables.
- Support periodic stock audits and inventory verification activities.
Vendor Management
- Develop and maintain a reliable and competitive vendor base.
- Coordinate vendor onboarding and performance monitoring.
- Maintain vendor ledger reconciliations and statement confirmations.
- Follow up on vendor payments and resolve commercial issues.
- Ensure vendor compliance with customer and regulatory requirements, including OEKO-TEX and related certifications.
ERP & Process Control
- Ensure timely GRN, invoice processing, and system updates.
- Generate inventory and procurement reports for management review.
- Maintain accurate documentation and records for audit compliance.
- Drive SOP adherence and continuous process improvements within the department.
Required Skills
- Strong knowledge of procurement and inventory management.
- Hands-on experience in ERP systems such as WFX, SAP, Oracle, or equivalent.
- Vendor management and commercial negotiation skills.
- Proficiency in MS Excel and reporting.
- Good analytical, follow-up, coordination, and communication skills.
- Knowledge of stock control, inventory reconciliation, and material planning.
Qualifications
- Any Graduate / Diploma in Supply Chain, Materials Management, Commerce, or related field.
- Relevant certification in Supply Chain or Inventory Management will be an added advantage.
