Job Summary
The Executive Assistant to the Managing Director will provide high-level administrative and strategic support to the MD by managing schedules, coordinating meetings, handling confidential communications, following up on key business initiatives, and ensuring smooth execution of day-to-day executive operations. The role requires exceptional organizational skills, confidentiality, business acumen, and the ability to coordinate with internal and external stakeholders.
Key Responsibilities
- Manage the Managing Director's calendar, appointments, meetings, and travel schedules.
- Coordinate internal and external meetings, including preparing agendas, presentations, and meeting materials.
- Attend meetings with the MD, prepare Minutes of Meeting (MOM), and ensure timely follow-up on action points.
- Coordinate with department heads and project teams to track progress on assigned tasks.
- Monitor deadlines and ensure timely completion of commitments assigned by the MD.
- Draft professional emails, letters, reports, presentations, and business correspondence.
- Handle confidential documents and sensitive business information with complete discretion.
- Screen calls, visitors, and correspondence on behalf of the MD.
- Prepare MIS reports, executive summaries, and management dashboards.
- Coordinate with consultants, vendors, clients, government authorities, and external stakeholders whenever required.
- Maintain records of important documents, contracts, agreements, and approvals.
- Assist in planning business reviews, management meetings, presentations, and corporate events.
- Conduct research, compile information, and prepare reports to support management decision-making.
- Manage travel bookings, accommodation, reimbursements, and expense records.
- Ensure effective communication between the Managing Director and all departments.
- Perform additional assignments as directed by the Managing Director.
Required Qualifications
- Bachelor's Degree in Business Administration, Commerce, Management, or a related field.
- MBA or equivalent qualification will be preferred.
Experience
- 8–15 years of experience as an Executive Assistant, Executive Secretary, or Executive Coordinator supporting senior leadership.
- Experience in the Real Estate, Construction, Infrastructure, or Manufacturing industry will be preferred.

Job Type: Full-time
Pay: ₹20,000.00 - ₹50,000.00 per month
