We are seeking a highly organized, proactive, and resourceful Administrative Assistant to support the legal, administrative, and strategic operations of our technology startup. This role goes well beyond traditional administrative duties and is ideal for someone who enjoys solving problems, coordinating multiple stakeholders, and driving projects to completion.
The successful candidate will act as the central point of coordination for legal matters, intellectual property (IP) administration, government incentives, university collaborations, and corporate compliance. They will ensure that important initiatives continue moving forward by following up with external advisors, government agencies, and research partners.
Key Responsibilities
Legal & Intellectual Property Administration
Coordinate with patent attorneys, trademark lawyers, and other legal advisors on all intellectual property matters.
Track patent, trademark, copyright, and design applications from filing through approval. Ensure timely follow-up on all legal actions, deadlines, renewals, and correspondence.
Maintain organized records of contracts, NDAs, licensing agreements, and corporate legal documents.
Assist management in preparing documents required for legal filings and regulatory compliance.
Corporate Administration
Monitor corporate compliance requirements and statutory deadlines.
Coordinate document preparation for company registrations, regulatory filings, and board meetings.
Maintain organized electronic and physical records of corporate documentation. Liaise with accountants, auditors, legal counsel, and government agencies.
Grants, Tax Incentives & Funding Research
Continuously research government grants, tax incentives, innovation funding programs, R&D credits, export assistance programs, and startup support initiatives.
Identify eligibility requirements and application deadlines.
Coordinate preparation and submission of grant and incentive applications. Maintain a calendar of funding opportunities and reporting requirements.
Track outcomes and prepare summaries for management.
University & Research Coordination
Build and maintain relationships with universities, research institutes, and technology transfer offices.
Coordinate collaborative research projects and communications between company personnel and academic partners.
Schedule meetings and monitor progress of joint research initiatives.
Assist with documentation related to research agreements and collaborative projects.
Project Coordination
Track multiple ongoing projects and ensure action items are completed on schedule. Follow up with internal and external stakeholders to keep projects moving.
Prepare status reports and management summaries.
Organize meetings, prepare agendas, record minutes, and monitor follow-up actions.
Research & Strategic Support
Conduct market, regulatory, technical, and competitive research as requested. Prepare concise reports summarizing findings and recommendations.
Monitor developments in government policies affecting startups, innovation, taxation, and intellectual property.
Qualifications
Bachelor’s degree in Business Administration, Law, Engineering, Science, Public Policy, or a related field.
3+ years of administrative, legal, project coordination, or executive support experience. Experience working with technology companies or startups is highly desirable. freshers can also apply
Familiarity with intellectual property processes is an advantage.
Experience researching government funding or grant programs is preferred.
Required Skills

Ability to manage multiple priorities with minimal supervision. High attention to detail and accuracy.
Ability to work independently while coordinating across multiple organizations. Proficiency with Microsoft Office and Google Workspace.
Experience with project management software is an advantage. Ability to handle confidential information with discretion.

Consistent completion of administrative and compliance tasks before deadlines. Reliable project tracking and communication across internal and external teams. Contribution to reducing administrative burden on the leadership team while improving organizational efficiency.
Pay: ₹25,000.00 - ₹40,000.00 per month
