Position Summary
The Executive – Accounts and Administration will be responsible for project accounting, financial monitoring, administrative coordination, and recruitment support for various organizational programs.The role requires maintaining financial accuracy, ensuring compliance, monitoring stock and stipend records, coordinating with project teams, and supporting smooth administrative and recruitment processes.
Key Responsibility Areas (KRAs)
- Accounting & Financial Management: Maintain daily accounts in Tally/Excel, verify bills and vouchers, prepare monthly BRS and MIS by the 5th, support TDS compliance, maintain project-wise accounts, and monitor receivables/payables.
- Stock & Inventory Management: Conduct monthly physical verification, reconcile stock and asset records, promptly resolve discrepancies, and submit quarterly inventory reports.
- Stipend Verification: Verify stipend sheets, beneficiary details, bank information, stock records, and supporting documents before each payment cycle.
- Recruitment Support: Assist with job postings, candidate screening, interview coordination, recruitment records, and onboarding documentation.
- Salary & Wage Administration: Maintain payroll records; calculate salaries, wages, and deductions; support timely disbursement; and ensure PF, ESI, and TDS compliance.
- Procurement & Disposal: Obtain quotations, coordinate purchases, maintain vendor and procurement records, monitor payments, and facilitate disposal of obsolete goods as per policy.
- Facilities Management: Coordinate maintenance, housekeeping, security, office supplies, and logistical arrangements for meetings and training programmes.
- Records Management: Maintain, classify, retrieve, and archive office and project records, ensuring complete documentation for audits and compliance.
- Travel & Transport: Arrange official travel and accommodation, maintain travel-expense records, review vehicle logbooks, and coordinate vehicle maintenance and cost-effective usage.
Qualifications and Experience
- Bachelor’s/Master’s degree in Commerce or Accounting.
- 2–4 years’ experience in accounts and administration, preferably in an NGO.
- Proficiency in Tally and MS Excel.
- Understanding of project accounting, donor reporting, payroll and financial documentation.

Job Requirements
- Must own a two-wheeler for official field visits.
- Willingness to work at the Nayagaon, Gurugram project site.
- Availability to visit the Head Office at Karala, Delhi, once a week or as required.
