Key Roles:
- Operations, Logistics, Documentation, and Daily Coordination
- Manages day-to-day operations ensuring administrative backbone of HR functions is maintained efficiently.
- Developed job vacancy postings and executed initial candidate screening and shortlisting,coordinated interview scheduling and overall recruitment process
- Supports HR and accounts by managing payroll data, attendance, taxes, and calculations of payable days, overtime, and extra hours, while ensuring compliance tracking maintaining management expense data,and assisting in salary disbursement processes.
- Communication & Documentation: Manages official verbal and written communication across modes and email, drafts internal and external letters/documents and space agreements, and maintains courier and dispatch registers in a timely and effective manner.
- Review Processes Operations: Supports implementation of performance appraisal and compensation processes by coordinating data collection, scheduling reviews, and maintaining records, documentation, and communication
- Asset & Facility Management: Oversees asset security across programs, manages EMI payments, Maintain inward and outward asset records and conducts surprise site visits for operational audits to ensure proper usage, handles asset handover and and follows procurement policy for compliance and tracking.
- HR Operations: Supports and coordinates HR-led processes by maintaining attendance records, assisting in payroll processing, and preparing draft HR documents for review and finalization
- Team Wellbeing Support. Handles operational staff welfare logistics, including managing food, snacks, payments, data, and maintaining general office supplies to ensure day-to-day team comfort and smooth functioning.
- Manages procurement, renewal, and inventory of technology subscriptions and office assets(e.g., Zoho, Zoom, Tally), ensuring timely allocation, vendor coordination, and compliance with organizational administration processes.
- Workspace Safety & Resource Management: Conducts space visits, provides required assets and equipment, and ensures upkeep of hygiene, safety, and availability of updated resource materials.
- Student/Intern/Volunteer Onboarding & Management: Handles operational execution including documentation, scheduling, record-keeping, and logistics for onboarding students/interns/volunteers.
- Team processes Support: Serves as the first point of contact for staff inquiries and grievance intake, and supports HR by coordinating grievance discussions, including scheduling, documentation, and follow-ups to ensure smooth facilitation of the process.
- Meeting & Resource Coordination: Maintains staff meeting calendars, schedules meetings, circulates updates, and provides logistical support for smooth execution of meetings.
- Responsible for opening the office regularly, managing guest coordination and logistics, and ensuring smooth day-to-day administrative functioning.
Qualifications & Experience:
Bachelor’s or master’s degree any streams, Administration, or related field
2–5 years of Admin experience (NGO/Development sector preferred)
Strong understanding of resource Management
Excellent communication, documentation, people management, and conflict-resolution skills
Fluency in English, Hindi, and Marathi preferred
