Job Overview
We are looking for a proactive and organized Administration Executive to manage end-to-end administrative operations, office infrastructure, vendor coordination, employee support, and compliance-related activities in a fast-growing Clinical Research Organization (CRO).
The ideal candidate should have strong leadership skills, excellent coordination abilities, process-oriented approach, and the capability to independently manage administrative functions while ensuring smooth organizational operations.
Key Responsibilities
1. Overall Administration & Office Management
- Manage and oversee daily administrative operations of the organization.
- Ensure smooth functioning of front office, facilities, housekeeping, security, and support services.
- Develop, implement, and maintain administrative policies, SOPs, and workflows.
- Maintain workplace discipline, professionalism, and office decorum.
- Act as the primary point of contact for all administrative requirements.
2. Facility & Infrastructure Management
- Manage office infrastructure, seating arrangements, utilities, and workplace facilities.
- Coordinate with service providers for maintenance activities, repairs, AMC services,
- Electrical works, internet, equipment, and other facility requirements.
- Ensure hygiene, safety, and operational standards are maintained.
3. Qualifications & Requirements
- Graduate in any Degree.
- Minimum 1–3 years of experience in Administration, Office Management, or related functions.
- Good communication and interpersonal skills.
- Ability to coordinate effectively with internal and external stakeholders.
- Proficiency in MS Office applications (Word, Excel, Outlook, PowerPoint).
- Strong organizational and multitasking abilities.
- Support emergency preparedness and business continuity arrangements.
4. IT Coordination & Support Management
- Coordinate with IT teams/service providers for hardware, software, network, internet,
- and system-related requirements.
- Support employee onboarding and exit processes through system access coordination.
- Maintain records of IT assets, licenses, and equipment allocation.
- Coordinate troubleshooting of IT-related issues.
- Support implementation of data security practices and access control processes.
5. Vendor & Purchase Management
- Identify, evaluate, negotiate, and coordinate with vendors for housekeeping, pantry,
- stationery, IT services, utilities, and facility requirements.
- Manage quotations, purchase approvals, invoices, and payment coordination.
- Maintain vendor databases, purchase trackers, and service follow-up records.
- Ensure cost-effective procurement and timely service delivery.
6. Documentation, Records & Compliance Support
- Maintain administrative, legal, employee, vendor, and facility-related records.
- Ensure confidentiality and security of sensitive documents including agreements,
- contracts, licenses, and employee records.
- Support internal audits, client audits, inspections, and compliance activities.
- Maintain proper documentation as per organizational procedures.
7. HR & Employee Coordination Support
- Coordinate with HR for employee onboarding, induction, exit formalities, and
- employee movements.
- Support attendance management, leave records, and employee coordination activities.
- Assist in interview scheduling, training arrangements, and employee engagement
- activities.
- Maintain employee-related administrative trackers.
8. Team Supervision & Coordination
- Supervise Admin Assistants, front office staff, housekeeping, and support personnel.
- Allocate tasks, monitor performance, and ensure timely completion of activities.
- Coordinate with different departments for administrative requirements.
- Drive efficiency and continuous improvement in administrative processes.
9. Meetings, Training & Event Management
- Coordinate internal meetings, corporate events, celebrations, and employee activities.
- Ensure availability of required resources such as projectors, stationery, seating
- arrangements, and refreshments.
10.Reporting & Management Updates
- Prepare daily, weekly, and monthly administrative reports.
- Track operational expenses, maintenance costs, and vendor performance.
- Provide regular updates to management regarding administrative activities, risks, and
- improvement opportunities.

- Basic understanding of IT infrastructure coordination and workplace technology support.
- Coordinate and visit support with sister concern.
- Coordinate and arrange the refreshments for clients and staff whwn its required
Preferred Experience
- Experience in administration roles within healthcare, pharmaceutical, clinical research, or corporate organizations will be preferred.
- Knowledge of documentation practices, compliance requirements, and audit support activities will be an added advantage.
- Valid four-wheeler driving license with practical driving experience.
