About Us SVS Hospital (Est. 1919) is one of Kolkata's most trusted charitable healthcare institutions. We are seeking an experienced HR Resource with deep understanding of the hospital work environment and current Indian labour law landscape. This is a ground-up role - the selected candidate will be responsible for building and institutionalising the HR function at SVS Hospital, with full management support.
Qualification MBA / PGDM / MSW in Human Resources or equivalent (Additional certification in Labour Laws, POSH, IR, or Healthcare Management is an advantage)
Experience Minimum 5 - 7 years exclusively in a Hospital environment
Must have hands-on experience managing employees in a hospital setting
Key Responsibilities
Recruitment & Manpower Planning
- Manage end-to-end recruitment for all hospital roles - doctors, nurses, paramedical staff, technicians, admin, and support functions
- Coordinate with department heads and management for structured manpower planning based on bed occupancy, patient load, and departmental needs
- Maintain recruitment tracker, shortlisting pipeline, and hiring MIS reports
- Manage onboarding, induction, and joining formalities for all new hires
- Verify all professional credentials before onboarding - MCI/NMC registration for doctors, State Nursing Council for nurses, Pharmacy Council for pharmacists, and allied health certifications for technicians
HR Operations & Employee Lifecycle
- Maintain accurate employee records, personal files, and HRIS database
- Issue and manage all HR letters - offer, appointment, confirmation, increment, warning, show cause, experience, and relieving letters
- Manage attendance, leave, shift scheduling, and absenteeism tracking across departments, including 24×7 rotational shift staff
- Oversee employee exit formalities - full & final settlement, exit interviews, and clearances
- Manage HR department budget - headcount costs, recruitment spends, and training investments
- Mentor and guide the junior HR Executive, building their capability and knowledge of hospital HR processes
Statutory Compliance
- Ensure full and timely compliance with all applicable labour laws across the entire workforce
- Maintain all statutory registers, returns, and filings within prescribed deadlines
- Ensure basic wage is correctly structured in CTC - as per new Labour Codes, as per Hospital policies.
- Ensure overtime compliance - to all shift staff including nurses and resident doctors, as per Hospital policies.
- Ensure annual health checkups for all employees above 40 years of age as mandated under the new Labour Codes, as per Hospital policy
- Manage principal employer compliance obligations for all outsourced contract staff - housekeeping, security, laundry, and support functions
- Liaise with PF/ESI authorities, labour inspectors, and government bodies as required
Contract & Fixed-Term Staff Management
- Manage fixed-term employment contracts for nurses, resident doctors, and contractual staff
- Ensure contract staff receive benefits equivalent to permanent employees for contract duration
- Coordinate contractor ECR verifications and invoice approvals with finance team monthly
- Maintain separate payroll streams for consultant TDS and salary TDS
POSH Compliance
- Conduct mandatory annual POSH awareness workshops and maintain attendance records
- Ensure every new joiner signs the POSH policy acknowledgement on Day 1
- Handle all complaints within the mandated 90-day resolution timeline with strict confidentiality
- File Annual POSH Report as required.
- Ensure POSH disclosure is included in Trustee/Board reports.
Grievance Handling & Employee Relations
- Operate and maintain the Grievance Redressal Committee - mandatory for 20+ workers, separate from POSH ICC
- Handle employee grievances, complaints, and escalations with sensitivity, fairness, and speed
- Manage disciplinary proceedings - charge sheets, domestic enquiries, and disciplinary actions - in line with natural justice principles and hospital SOPs
- Mediate conflicts between employees, departments, and management constructively
- Manage any labour unrest situations professionally - hospitals are classified as essential services under the Industrial Relations Code
Attrition Management & Employee Retention
- Track and analyse attrition data department-wise and role-wise on a monthly basis
- Conduct structured exit interviews and present retention insights to management
- Design and implement employee retention initiatives - recognition programmes, staff welfare activities, and career growth pathways
- Run periodic employee satisfaction surveys and act on findings
- Build career development pathways especially for nursing staff seeking advancement
Employee Engagement & Welfare
- Plan and execute staff engagement activities - awards, appreciation events, inter-department activities, and staff welfare programmes
- Coordinate employee health and wellness initiatives including annual staff health checkups
- Foster a positive, respectful, and inclusive work culture aligned with the hospital's charitable mission
Policies & Procedures
- Develop, implement, update, and communicate HR policies and SOPs - code of conduct, attendance, leave, overtime, dress code, anti-harassment, data privacy, and employee welfare
- Ensure all policies align with current Labour Code requirements and hospital regulatory standards
- Conduct periodic policy audits and update documentation as laws evolve
- Ensure no illegal wage deductions
Performance Management & Training
- Drive annual and mid-year Performance Appraisal Process - coordinate with HODs, set KRAs and KPIs, manage timelines, and compile reports
- Identify training and development needs across all departments
- Plan and coordinate induction programmes, compliance training, and skill development initiatives
- Facilitate cross-training of staff across departments to improve workforce mobility
- Maintain training records, attendance logs, and evaluation reports
NABH & Audit Support
- Ensure HR documentation, policies, and processes are fully aligned with NABH accreditation standards
- Support internal and external HR audits with accurate records and statutory compliance documentation
- Coordinate with management on HR-related NABH criteria and gap closure
Payroll Coordination
- Coordinate monthly payroll inputs - attendance, leaves, new joiners, exits, LOP, and increments - with finance/accounts team
- Manage separate payroll streams for permanent staff, contractual staff, consultants, and agency workers
- Verify payroll accuracy and resolve salary discrepancies promptly
- Ensure all statutory deductions are correctly processed every month
HR Technology & MIS
- Maintain and improve HRIS/ATS systems for efficient HR operations
- Prepare and present monthly HR MIS reports to management - headcount, attrition, recruitment pipeline, training compliance, and statutory filing status
- Recommend HR technology improvements where manual processes can be streamlined

Pay: ₹20,000.00 - ₹30,000.00 per month
