Roles and Responsibilities:
Employee Lifecycle Management
New starters
o Draft contracts to agreed Service Level Agreements (SLA’s) and flag any delays to the
HR Operations Manager
o Issue reference requests and file responses
o Complete correct onboarding system access tickets
o Complete correct equipment tickets for laptops and computer accessories (Paige)
o Ensure correct server and email groups are requested (Paige)
o Ensure equipment is ready ahead of the first day and escalate any delays
Current Employees
o Respond to routine employee requests
o Update systems with employment classification changes (Register, Reach, Paige,
Workday)
Draft contract amendment letters
o Document payroll updates
o Draft Length of Service Award Letters
o Draft mortgage/rent references
o Any other ad-hoc administration as requested
Leavers
o Draft leaver letters and calculate holiday entitlements
o Complete all off-boarding processes, including tickets (Paige) and monitor equipment
collection
o Draft reference letters
Trackers
o Keep all HR Operations Excel trackers up to date, including starters and leavers,
freelance, Paige ticket requests and equipment ticket logs
o Filter and sort trackers to provide updates and be able to report data.
Payroll and other HR System Administration and Reporting
Support Reach/Workday (payroll system) updates with starters, leavers and other changes
(salary, hours, addresses) in line with deadlines
Keep the holiday & sickness system up to date with starters, leavers, transfers and other
changes regularly
Support reporting for the HR Team from the payroll and absence management system
Support HR Operations dashboard reporting
Support in the completion of data audits on employee data in line with Information Security
guidelines, including access rights and compliance training
Freelance Resource
Onboard and offboard freelancers in line with the agency’s compliance requirements using
Register, Paige, and Workday systems
Draft contracts and NDA’s to agreed Service Level Agreements (SLA’s) and flag any delays to
the HR Operations Team Lead.
Benefits
Respond promptly to employee benefit emails (GP, Nutritionist, Physio, Exercise, etc.) and
answer queries about appointments and rescheduling as needed
Provide benefit administration, including ‘Hobby funds’
Support the team with season ticket loan administration
Filing, Document Management and Process Administration
Responsible for keeping all employee and freelance electronic files up to date and in an
organized structure
Maintain filing systems in line with data retention policies
Help keep HR Operation Administration Processes current by documenting updates
Other support
Raise purchase orders and process invoices, dealing with any queries from suppliers and
finance
Cross-functional Collaboration
Work closely with Line Managers, finance, payroll, IT, and department heads to align HR
operations with business needs.

Experience: 7+ years in HR Generalist/HRBP in Global environment
Exceptional written and verbal communication skills.
Strong teamwork across HR functions.
Proven ability to liaise with employees and stakeholders
Good prioritization, time management and organizational skills
Good attention to detail and a passion for efficient administration
Ability to multitask in a fast-paced environment, and work on your own initiative
Ability to form strong and solid professional relationships with all colleagues
Self-motivated but also enjoy working as a team
Demonstrates a good working knowledge of Microsoft Office tools such as Word, Excel, and
Outlook
Has an aptitude for systems
Will always uphold confidentiality
Proficiency preferred in MS Office, SharePoint and Reporting
Experience with HRIS systems/Workday is a plus.
Education & Certifications:
Master’s/bachelor’s degree in HR, Business Administration, or a related field.
