We are looking for a detail-oriented and proactive Documentation Executive to handle export documentation and coordination activities within the freight forwarding industry. The ideal candidate will be responsible for preparing, verifying, and managing shipment-related documents while ensuring compliance with international trade regulations and smooth cargo movement.
Key Responsibilities
● Verify documents received from client coordinators and resolve discrepancies.
● Prepare and update shipment jobs/files based on received documents.
● Ensure all required documents are received as per the checklist requirements.
● Update shipment details and flat files in ERP/TMS systems.
● Prepare and process export documents, including MBL, HBL, AWB, Commercial Invoice, Packing List, and Certificate of Origin.
● Coordinate with shipping lines, airlines, transporters, co-loaders, and overseas agents for shipment bookings and cargo movement.
● Coordinate with CHAs for customs clearance and Shipping Bill filing.
● Ensure compliance with EXIM regulations, DGFT guidelines, Incoterms 2020, and international shipping procedures.
● Communicate shipment updates, schedules, and documentation status with clients and internal teams.
● Generate invoices, manage cargo accruals, and maintain shipment records accurately.
Required Skills & Qualifications
● 1-2 years of experience in ocean export documentation.
● Good understanding of Incoterms 2020, customs regulations, and international shipping procedures.
● Proficiency in MS Office, especially Excel, and logistics/ERP/TMS software.
● Excellent attention to detail and organizational skills.
● Strong communication and coordination abilities.
● Ability to work under pressure.
Pay: Up to ₹400,000.00 per year
