Job Summary
We are seeking a compassionate, organized, and proactive Donor Coordinator to manage and coordinate the complete egg donor program at Progenesis IVF. The Donor Coordinator will serve as the primary point of contact for donors, ensuring smooth coordination from donor registration and screening through treatment completion.
The ideal candidate will work closely with fertility consultants, embryologists, nursing staff, and recipient coordinators to ensure donor cycles are efficiently managed while maintaining strict confidentiality and compliance with ART regulations.
Key ResponsibilitiesDonor Recruitment & Registration
- Coordinate the recruitment and onboarding of eligible egg donors.
- Conduct preliminary screening and eligibility assessment.
- Maintain an updated pool of active and eligible donors.
- Educate prospective donors about the donation process, treatment protocol, and expectations.
Donor Screening & Medical Coordination
- Schedule donor consultations with fertility specialists.
- Coordinate all required medical investigations, blood tests, ultrasound scans, and other diagnostic procedures.
- Ensure timely completion of medical fitness and donor evaluation.
- Track investigation reports and update donor records.
Treatment Cycle Coordination
- Coordinate donor stimulation schedules and monitoring appointments.
- Ensure timely scheduling of scans, blood tests, and egg retrieval procedures.
- Coordinate closely with fertility consultants, embryologists, nursing staff, OT, and laboratory teams for seamless donor cycle management.
- Monitor donor treatment timelines and follow up on appointments to avoid delays.
Donor Communication & Support
- Act as the primary point of contact for donors throughout the treatment cycle.
- Educate donors regarding medications, appointments, procedures, and follow-up care.
- Address donor queries with empathy, professionalism, and confidentiality.
- Ensure donors adhere to treatment schedules and medical instructions.
Documentation & Compliance
- Maintain complete and accurate donor records.
- Ensure all consent forms, declarations, and legal documents are completed before treatment.
- Verify documentation as per ART Act, clinic protocols, and regulatory requirements.
- Maintain strict confidentiality of donor and recipient information.
Cross-Functional Coordination
- Coordinate with:
- Fertility Consultants
- Embryologists
- IVF Nurses
- Recipient Coordinators
- Operation Theatre Team
- Laboratory Team
- Administration and Billing Department
- Ensure smooth communication among all departments involved in donor treatment cycles.
Database & Reporting
- Maintain an updated donor database.
- Record donor availability, treatment status, investigation reports, and cycle outcomes.
- Generate weekly and monthly donor program reports.
- Maintain accurate data using Hospital Management Systems (HMS), CRM, or Microsoft Excel.
Quality & Compliance
- Ensure donor programs comply with ART (Regulation) Act, 2021 and internal SOPs.
- Participate in quality improvement initiatives and internal audits.
- Promote ethical practices and patient confidentiality at all times.
Eligibility CriteriaEducation
- Bachelor's Degree in Nursing, Life Sciences, Biotechnology, Microbiology, Pharmacy, Psychology, Healthcare Management, or any relevant healthcare discipline.
- Postgraduate qualification in Hospital Administration or Healthcare Management will be an added advantage.
Experience
- 2–5 years of experience in IVF, Fertility, Gynecology, Clinical Coordination, Hospital Operations, or Healthcare Services.
- Prior experience in an IVF centre or fertility clinic will be preferred.
Required Skills
- Excellent communication skills in English, Hindi, and Marathi.
- Strong interpersonal and counselling abilities.
- Exceptional coordination and follow-up skills.
- Ability to manage multiple donor cycles simultaneously.
- Good understanding of IVF treatment workflows.
- Knowledge of donor documentation and regulatory compliance.
- Proficiency in Microsoft Excel, Word, and Hospital Management Systems.
- High attention to detail and organizational skills.
- Ability to maintain confidentiality and handle sensitive information with professionalism.
