Buyer Merchant / Buyer Relations Executive
Job Summary
We are looking for a proactive and detail-oriented Buyer Merchant to manage and maintain strong relationships with international buyers while ensuring smooth execution of orders from inquiry to shipment. The ideal candidate will act as the primary point of contact between buyers and internal teams, ensuring timely communication, product development, order execution, quality compliance, and on-time delivery.
Key ResponsibilitiesBuyer Relationship Management
- Serve as the primary point of contact for assigned international buyers.
- Build and maintain long-term relationships with buyers through professional communication.
- Handle buyer inquiries, product requests, quotations, and order confirmations.
- Conduct regular follow-ups with buyers regarding sampling, approvals, production, and shipment.
Order Management
- Receive and review purchase orders from buyers.
- Coordinate with internal departments to ensure timely order execution.
- Prepare order sheets, costing details, and production plans.
- Monitor order progress from sampling to final shipment.
Product Development
- Coordinate with the design and sampling teams for new developments.
- Ensure samples are developed as per buyer specifications and timelines.
- Follow up on sample approvals and buyer feedback.
- Maintain development timelines and documentation.
Production Coordination
- Liaise with production, sourcing, quality, and logistics teams.
- Ensure production follows buyer specifications and quality standards.
- Monitor production schedules and resolve any delays or issues.
- Track critical milestones to ensure timely deliveries.
Documentation & Reporting
- Prepare and maintain merchandising documents including:
- Cost sheets
- Purchase orders
- Order confirmation sheets
- Time and Action (T&A) calendars
- Shipment schedules
- Buyer communication records
- Generate periodic order status reports for management.
Quality & Compliance
- Coordinate with QA/QC teams to ensure products meet buyer standards.
- Address quality concerns raised by buyers.
- Ensure compliance with buyer requirements and company quality procedures.
Logistics & Shipment
- Coordinate with logistics and dispatch teams for timely shipments.
- Ensure shipping documentation is accurate and complete.
- Update buyers regarding shipment schedules and dispatch status.
Coordination
- Work closely with:

- Warehouse
- Logistics Team
- Ensure seamless communication between buyers and internal departments.
Required Skills
- Excellent verbal and written English communication skills.
- Strong buyer handling and relationship management skills.
- Knowledge of merchandising processes and export documentation.
- Strong negotiation and problem-solving abilities.
- Excellent follow-up and coordination skills.
- Ability to manage multiple buyers and orders simultaneously.
- Strong organizational and time management skills.
- Proficiency in Microsoft Excel, Word, and PowerPoint.
- Experience with ERP systems is an added advantage.
Preferred Experience
- Experience working with international retailers and global brands.
- Understanding of product costing and sourcing.
- Knowledge of sampling, production planning, quality assurance, and shipment processes.
- Familiarity with Time & Action (T&A) planning and critical path management.
Pay: ₹40,000.00 - ₹55,000.00 per month
