We are looking for an organized, detail-oriented, and welcoming Office Assistant to join our team. In this role, you will be the backbone of our daily office operations—handling administrative tasks, managing front-desk duties, coordinating shipments, and ensuring the workplace remains tidy, stocked, and efficient.
The ideal candidate is a reliable multitasker with great communication skills and a positive, helpful attitude.
Key Responsibilities1. Administrative & Operations Support
- Daily Correspondence: Handle incoming calls, emails, and physical mail; redirect inquiries to the appropriate team members.
- Logistics & Dispatch: Coordinate with courier and shipping services (such as managing local and domestic package bookings) to ensure timely dispatch and delivery of company materials.
- Data Entry & Documentation: Maintain, organize, and update physical files and digital records (spreadsheets, drive folders, invoices).
- Meeting Coordination: Assist in scheduling appointments, organizing meeting rooms, and welcoming visitors or clients.
2. Office Maintenance & Inventory Control
- Stock Management: Monitor and replenish office supplies, stationery, and pantry essentials.
- Facilities Oversight: Ensure the office environment, reception area, and meeting rooms stay clean, organized, and professional.
- Vendor Coordination: Act as a point of contact for utility technicians, cleaning staff, and office maintenance vendors to ensure all equipment functions smoothly.
Required Skills & Qualifications
- Experience: 1–2 years of experience in an office administration, receptionist, or customer service role (preferred but freshers with strong organizational skills are welcome).
- Tech Savviness: Good hands-on knowledge of MS Office (Word, Excel) or Google Workspace (Docs, Sheets).
- Communication: Clear verbal and written communication skills for professional email drafting and front-desk handling.
- Time Management: Strong organizational skills with the ability to prioritize tasks and handle daily logistics efficiently.
