Job Title: Export Operation Executive

Job Purpose
The Export Operations Executive will be responsible for end to end execution of export shipments, ensuring seamless coordination between vendors, Custom House Agents CHAs, and freight forwarders. The role demands rigorous tracking, meticulous documentation, proactive customer updates, and daily reporting to ensure all export processes run efficiently and deliveries are fulfilled on time.
Key Responsibilities and Duties
1. Order Processing and Vendor Coordination
- Manage and process export orders from receipt through to final delivery, ensuring alignment with client specifications.
- Coordinate closely with domestic and international vendors to ensure timely cargo readiness and packing compliance.
- Verify commercial invoices, packing lists, and product data sheets against purchase orders before initiating transit.
2. Logistics, CHA and Freight Management
- Liaise with freight forwarders to secure competitive freight rates, shipping line bookings, and optimal air or sea routing.
- Coordinate with Custom House Agents CHAs to ensure accurate and timely customs filing Shipping Bills, Bills of Lading, Certificate of Origin, etc.
- Navigate operational challenges, customs queries, and port or terminal delays proactively to prevent demurrage or detention charges.
3. Client Relationship and Shipment Tracking
- Serve as the primary point of contact for international clients, providing consistent and proactive shipment status updates.
- Maintain and meticulously update the Daily Status Report DSR to ensure 100 percent data accuracy.
- Track shipments in real time across various transit stages factory dispatch, port gate in, custom clearance, sailing, transshipment, and final destination arrival.
4. Reporting, Compliance and Continuous Monitoring
- Submit comprehensive daily reports to management regarding operational bottlenecks, cleared shipments, and pending dispatches.
- Monitor and adapt to ongoing geopolitical and macroeconomic factors such as oil supply volatility, route changes, or air or sea freight fluctuations that impact timelines or costs.
- Ensure strict adherence to international trade laws, customs regulations, and organizational compliance protocols.
Profile and Skill Requirements
- Experience: 1 to 3 years of core experience in handling end to end export operations and logistics documentation experience in hospitality supply chain or CAPEX OPEX procurement is a major advantage.
- Technical Skills: Proficient in Microsoft Excel and Access for managing complex DSRs, and tracking. Strong familiarity with shipping documentation and global port processes.
- Soft Skills: Exceptional written and verbal communication skills. Ability to remain calm and solution oriented under tight deadlines and changing global market conditions.
- Education: Graduate in a related field. A diploma or certification in International Trade, Export Import Management, or Supply Chain Logistics is highly preferred.

- On Time Delivery OTD: Percentage of shipments successfully delivered within the committed timeframe.
- Documentation Accuracy: Zero errors or delays in customs clearance caused by faulty paperwork.
- DSR Compliance: Timely daily updates of the tracking sheet without missing logs.
- Cost Control: Minimization of extra logistical costs like terminal handling delays, demurrage, or air freight premiums through proactive planning.
