With multidisciplinary engineering teams and experience across solar, BESS, power systems and associated infrastructure, Arbutus works with developers, investors, EPC contractors and other stakeholders across the project lifecycle.
As the organisation continues to strengthen its engineering systems, quality processes and project controls, we are looking for a disciplined, detail-oriented and communicative professional to support documentation, coordination and information management across projects and internal functions.
Role Overview
The Document Controller will be responsible for maintaining structured, accurate and traceable project and engineering documentation while also coordinating with internal teams, clients, consultants, contractors and other stakeholders.
This is not a purely back-office filing role. The position requires regular follow-up, communication and coordination with stakeholders in India and international markets to ensure timely document submissions, reviews, approvals and closures.
The role requires strong organisational skills, attention to detail, confidence in communication and good proficiency in Microsoft Excel and Word.
Candidates with experience in document control, quality documentation, ISO/QMS, MIS, project coordination, engineering administration, compliance or similar documentation-intensive functions are encouraged to apply.
Key Responsibilities
- Maintain project and engineering document registers, master document lists and related trackers.
- Receive, record, classify, distribute and archive project documents.
- Maintain revision history and ensure that only the latest approved document versions are available for use.
- Track document submissions, reviews, approvals, comments and outstanding actions.
- Coordinate with internal engineering teams, project leads and management for timely submission and closure of documents.
- Communicate and follow up with clients, consultants, contractors, vendors and other project stakeholders, including international stakeholders.
- Participate in project coordination calls and documentation-related discussions where required.
- Follow up on pending reviews, responses, approvals and action items.
- Maintain structured electronic project folders and documentation records.
- Support preparation and maintenance of engineering, quality and project-control records.
- Assist in maintaining templates, checklists, registers and standard documentation formats.
- Prepare and update MIS reports, document-status summaries and trackers using Excel.
- Format reports, procedures, registers and other documents using Microsoft Word.
- Support internal quality and ISO documentation requirements where applicable.
- Coordinate transmittals, document submissions and correspondence with external stakeholders.
- Maintain records of meetings, actions and commitments related to documentation where required.
- Assist during internal reviews, audits and project-documentation checks.
- Escalate overdue or critical documentation issues to the relevant project team.
- Maintain confidentiality, accuracy and completeness of organisational and project records.
Candidate Profile
Essential
- Graduate or diploma holder in any suitable discipline.
- Approximately 1–4 years of experience in document control, quality documentation, QMS/ISO, project coordination, MIS, engineering administration or a related function.
- Good working knowledge of Microsoft Excel and Microsoft Word.
- Ability to maintain registers, trackers and structured records accurately.
- Good written and verbal communication skills in English.
- Comfortable communicating with clients and other stakeholders through email, calls and online meetings.
- Confidence in coordinating and following up with multiple internal and external stakeholders.
- Strong attention to detail and ability to identify inconsistencies in documentation.
- Ability to independently track pending actions and ensure timely closure.
- Comfortable working in a structured, process-oriented and deadline-driven environment.
Preferred
- Exposure to engineering, construction, renewable energy, infrastructure or consulting organisations.
- Experience with ISO 9001/QMS documentation.
- Familiarity with document numbering, revision control, transmittals and approval workflows.
- Experience with SharePoint, EDMS or other electronic document-management platforms.
- Experience preparing MIS reports and documentation dashboards.
- Prior exposure to coordination with clients or international project teams would be an advantage.
