Role Purpose
The Admin Manager will be responsible for managing end-to-end administrative functions, ensuring smooth office operations, efficient facility management, and a safe, well-maintained work environment. The role involves vendor management, asset control, compliance, and team supervision.
Key Responsibilities
1. Office Management & Infrastructure
- Ensure smooth day-to-day operations of office premises
- Oversee housekeeping, maintenance, and security services
- Ensure uninterrupted functioning of utilities (electricity, internet, water, etc.)
- Manage office supplies and ensure availability at all times
2. Vendor & Asset Management
- Identify, negotiate, and manage vendors and service providers
- Ensure timely renewal of AMC (Annual Maintenance Contracts)
- Maintain and update asset registers (laptops, furniture, equipment, etc.)
- Monitor vendor performance and service quality
3. Travel & Logistics Management
- Manage travel arrangements for employees and management
- Coordinate local and outstation travel logistics
- Implement and monitor travel policies and expense management
4. Compliance & Documentation
- Ensure compliance with safety, legal, and statutory requirements
- Maintain documentation of licenses, agreements, and insurance
- Implement workplace safety measures and protocols
5. Event Coordination & Administration Support
- Plan and execute internal events, meetings, and celebrations
- Arrange venues, logistics, and required resources
- Provide administrative support for organizational activities
6. Employee Support & Facility Services
- Act as the point of contact for facility-related concerns
- Ensure a comfortable, safe, and productive work environment
- Address employee queries related to administration
7. Budgeting & Cost Control
- Prepare and manage administrative budgets
- Track and control expenses related to facilities and office operations
- Identify cost-saving opportunities while maintaining service quality
8. Team Management & Leadership
- Supervise housekeeping, security, and support staff
- Allocate duties and monitor team performance
- Conduct training and ensure adherence to company policies
9. Communication & Coordination
- Coordinate with internal departments and management
- Provide regular MIS reports on admin operations and expenses
- Ensure smooth communication across teams
10. Process Improvement & Policy Implementation
- Develop and implement administrative policies and SOPs
- Improve processes for better efficiency and cost-effectiveness
- Ensure adherence to company standards and procedures

Qualifications & Experience
