We are seeking a highly organized and proactive Executive Assistant (EA V) with specialized expertise in form management and processing to provide comprehensive administrative support to senior leadership. The ideal candidate will be adept at managing complex schedules, coordinating travel, and handling sensitive information, with a particular focus on the accurate and efficient creation, distribution, tracking, and archiving of various internal and external forms. This role requires exceptional attention to detail, discretion, and the ability to streamline administrative processes related to documentation and forms. The EA V will be a critical part of ensuring seamless operations and effective communication within the executive office.
- Manage and maintain complex executive calendars, schedule meetings, and coordinate appointments across multiple time zones.
- Arrange intricate domestic and international travel itineraries, including flights, accommodations, ground transportation, and visa applications.
- Prepare, process, and track a variety of administrative forms, including but not limited to HR forms, expense reports, financial requisitions, legal documents, project forms, and internal departmental requests.
- Ensure all forms are accurately completed, properly filed (both physical and digital), and submitted within established deadlines and compliance guidelines.
- Develop and implement efficient systems for tracking, retrieving, and archiving form-related documentation and records.
- Assist in the preparation of high-quality reports, presentations, spreadsheets, and correspondence using Microsoft Office Suite.
- Handle highly confidential and sensitive information with the utmost discretion and integrity.
- Act as a primary point of contact for internal and external stakeholders, screening calls and emails, and directing inquiries appropriately.
- Coordinate and prepare materials for meetings, including agendas, presentations, and minutes, ensuring all necessary documents are available.
- Manage office supplies and equipment inventory, ensuring the executive office is well-stocked and operational.
- Support special projects and initiatives as assigned by executives, often requiring research, data compilation, and coordination.
- Facilitate communication between executives and various departments, ensuring timely dissemination of information.
- Anticipate executive needs and proactively address administrative requirements to ensure smooth workflow.
