1. Role Summary
The Project Coordination Manager is responsible for end-to-end execution control of assigned
projects and spares orders, ensuring structured interdepartmental alignment, vendor coordination,
documentation completeness, and timely dispatch.
This role independently drives coordination, follow-ups, planning visibility, and execution discipline
across departments.
The position requires strong ownership, proactive planning ability, and operational rigor within a
manufacturing environment.
2. Core Responsibilities
A. Project Execution Control
- Develop and maintain project execution trackers.
- Translate project milestones into actionable weekly and daily execution plans.
- Ensure milestone alignment between Engineering, Purchase, PPC, Shop Floor, and QA.
- Maintain 2-week rolling lookahead planning.
- Monitor progress against plan and identify deviations early.
- Drive resolution of interdepartmental bottlenecks.
B. Interdepartmental Coordination
- Conduct structured weekly cross-functional coordination meetings.
- Align Engineering release timelines with PPC scheduling.
- Ensure material availability aligns with production start dates.
- Coordinate QA inspection scheduling.
- Confirm dispatch readiness across all functions.
- Document and track action items from each coordination review.
The role acts as a central synchronization point across departments.
C. Vendor Communication & Follow-up
- Communicate directly with suppliers for delivery confirmations of critical materials.
- Track vendor commitments vs. actual supply timelines.
- Escalate vendor delays proactively to Purchase & Operations.
- Validate vendor documentation (MTCs, certificates) prior to production release.
- Monitor high-risk or long-lead procurement items.
D. Customer Coordination & Communication
- Coordinate dispatch communication with customers.
- Issue dispatch advice and documentation.
- Provide updates on delivery timelines when required.
- Align on inspection schedules (if customer inspection involved).
- Ensure pre-dispatch documentation is shared as per contractual requirement.
This role ensures structured and professional customer-facing coordination without reactive
firefighting.
E. Dispatch Planning & Execution Oversight
- Validate packing lists before release.
- Ensure tagging, labeling, and traceability compliance.
- Confirm vehicle planning based on weight and dimensions.
- Coordinate vehicle placement schedule with Shop Floor.
- Ensure complete dispatch documentation prior to vehicle departure.
- Maintain dispatch accuracy and evidence records (photos, waybills, QA release).
F. Documentation & Compliance Control
- Maintain standardized project folder structure.
- Archive:
o QA certificates
o FAT/SAT reports
o Manuals
o Packing lists
o Dispatch documents
o Customer correspondence
- Ensure documentation completeness before project closure.
- Enforce checklist-based control prior to dispatch.
G. Reporting & Performance Monitoring
- Maintain Weekly Priority Tracker.
- Maintain Weekly Plan vs Actual Tracker.
- Maintain 2-Week Lookahead Sheet.
- Submit weekly execution report to Department Head.
- Highlight risk items requiring escalation.

Pay: ₹400,000.00 - ₹600,000.00 per year
