Key Responsibilities
Event Planning & Execution
Plan, manage, and execute a diverse portfolio of events including Townhalls, SAC (Salesforce Appreciation Celebrations), P&J, Customer Events, Auditorium Events, REWS Events, Trailblazing Events, and all-hands meetings
Own end-to-end event delivery — from concept development, budgeting, and vendor briefs to on-ground execution and post-event wrap-up
Develop detailed event runbooks, production schedules, risk registers, and contingency plans
Manage event theming, décor, branding, and signage aligned to Salesforce brand standards
Festival & REWS Events
Lead planning and execution of all festival celebrations — Diwali, Onam, Christmas, New Year, Independence Day, Women’s Day, and other cultural events
Drive REWS-specific programming — onsite activations, sustainability campaigns, employee experience events, and other initiatives
Collaborate with People team, ERGs, and business units for co-hosted events and employee engagement programs
Build and maintain an annual events calendar covering all recurring REWS and cultural events
Technical Production
Oversee all technical aspects of events — AV setup, sound systems, stage design, lighting, LED walls, live streaming, and hybrid event technology
Conduct pre-event technical walkthroughs, rehearsals, and sound checks
Troubleshoot technical issues on-ground during live events with zero escalation
Stay updated on emerging event technology and recommend upgrades where relevant
Vendor Management
Maintain and continuously build a strong vendor database across categories: AV & production, décor & fabrication, catering, entertainment, gifting, print & branding, and experiential agencies
Float RFQs, evaluate proposals, negotiate contracts, and manage POs end-to-end
Ensure timely vendor payments, SLA adherence, and post-event feedback
Develop backup vendor options for all critical categories
Stakeholder Management & Reporting
Manage stakeholder communications, event briefings, and pre/post-event updates for senior leaders and business units
Act as backup and delegate for the M&E Manager during absence
Track event budgets, raise POs, and submit expense reports on time
Contribute to newsletters, internal comms, event recaps, and documentation
Maintain post-event reports with attendance, feedback scores, and improvement recommendations
Required Skills & Experience
5–8 years of experience in an event management company, production agency, or experiential marketing firm — candidates with only in-house coordinator experience may not be preferred
Demonstrated ability to independently plan and execute large-scale corporate events (100–1000+ pax) from scratch
Strong technical knowledge of AV, production, lighting, stage design, and hybrid event setups — must be able to brief vendors and troubleshoot independently
An established and active vendor database across AV, décor, catering, entertainment, print, and gifting categories
Prior experience managing festival celebrations, employee engagement events, and REWS-type programming
Excellent verbal and written communication with strong stakeholder management skills
Proficiency in event management tools, Google Workspace, and project tracking platforms (Asana, Monday.com, or similar)
Creative eye for event design, guest experience, and experiential programming
Ability to thrive under pressure in a fast-paced, multi-event environment with tight turnarounds
