Job Description
Position: HR Executive
Role Purpose
The HR Executive is responsible for supporting the day-to-day human resource operations of the hospital, including recruitment, onboarding, employee records management, attendance and payroll coordination, statutory compliance, employee engagement, and HR administration. The role ensures smooth HR processes while maintaining confidentiality and compliance with hospital policies and healthcare regulations.
Key Responsibilities
Recruitment & Onboarding
- Coordinate end-to-end recruitment.
- Screen resumes, schedule interviews, and coordinate with hiring managers.
- Conduct pre-employment documentation, background verification, and reference checks.
- Facilitate employee joining formalities, induction, and orientation programs.
HR Operations
- Maintain and update employee personnel files and HRMS records.
- Issue appointment letters, confirmation letters, promotion letters, experience letters, and relieving letters.
- Ensure accurate employee documentation and record management.
- Monitor employee probation and confirmation processes.
Attendance & Payroll
- Monitor attendance, leave records, shift schedules, and overtime details.
- Coordinate payroll inputs with the Finance/Payroll team.
- Verify employee attendance, leave balances, and statutory deductions.
- Assist employees with payroll-related queries.
Employee Relations
- Address employee queries related to HR policies and procedures.
- Support grievance handling and disciplinary processes.
- Promote a positive work culture through employee engagement activities.
- Coordinate employee recognition programs and welfare initiatives.
Training & Development
- Coordinate induction and mandatory training programs.
- Maintain employee training records and certification status.
- Support internal and external training programs.
- Assist in identifying departmental training needs.
Statutory Compliance
- Ensure compliance with applicable labour laws and hospital HR policies.
- Maintain records related to PF, ESI, gratuity, maternity benefits, and other statutory requirements.
- Support HR audits and NABH documentation.
- Ensure timely completion of compliance-related activities.
Performance Management
- Coordinate probation reviews and annual performance appraisal processes.
- Maintain appraisal documentation and follow up with department heads.
- Support implementation of performance improvement plans where required.
Exit Management
- Coordinate resignation acceptance, exit interviews, and clearance processes.
- Ensure timely completion of full and final settlement documentation.
- Maintain employee exit records and generate attrition reports.
HR Reporting
- Prepare monthly HR MIS reports, including recruitment, attrition, attendance, and manpower status.
- Maintain HR dashboards and employee database.
- Generate reports required by management.
Qualifications & Experience
- MBA in Human Resources, Personnel Management, or a related field.
- · 2 years of HR experience.
