Job Summary
The GeM Tender Executive is responsible for managing the complete tendering process on the Government e-Marketplace (GeM) Portal. The role involves identifying suitable government tenders, preparing and submitting bids, coordinating with OEMs and internal departments, ensuring compliance with GeM guidelines, and supporting post-order execution activities. The incumbent should possess excellent documentation skills, attention to detail, and sound knowledge of government procurement procedures.
Key Roles & Responsibilities
Tender Search & Analysis
Search and identify relevant GeM tenders on a daily basis.
Analyze bid eligibility criteria, technical specifications, commercial terms, and qualification requirements.
Evaluate tender feasibility and profitability before submission.
Maintain a daily tender opportunity tracker.
Bid Preparation & Submission
Prepare technical and commercial bid documents.
Upload bids on the GeM Portal within the prescribed timelines.
Ensure complete and error-free bid submissions.
Coordinate with internal departments to collect required documents and approvals.
Track bid status until technical and financial evaluation.
Documentation & Compliance
Maintain updated company documents required for tender participation.
Obtain OEM Authorizations (MAF), compliance certificates, product datasheets, and other supporting documents.
Ensure compliance with GeM guidelines, government procurement rules, and company policies.
Maintain records of EMD, Performance Security, and contractual documents wherever applicable.
Order Management
Coordinate with Sales, Purchase, Accounts, Logistics, and Production departments after receipt of Purchase Orders.
Monitor order acceptance, dispatch, installation, and invoice submission.
Track payment status and coordinate for timely collections.
Maintain complete order documentation.
Customer & Vendor Coordination
Communicate with government buyers regarding bid clarifications and order-related issues.
Coordinate with OEMs, distributors, and suppliers for quotations and technical support.
Resolve customer queries related to products, deliveries, and documentation.
MIS & Reporting
Prepare Daily, Weekly, and Monthly GeM MIS reports.
Maintain records of bids submitted, bids won, orders received, revenue generated, and pending tenders.
Present performance reports to management.
Compliance & Process Improvement
Ensure confidentiality of tender information.
Follow standard operating procedures (SOPs).
Keep updated with changes in GeM policies and government procurement regulations.
Suggest process improvements to increase bid success rates.
Educational Qualification
Graduate in Commerce, Business Administration, Engineering, or any relevant discipline.
MBA (Preferred).
Experience
2–5 years of experience in GeM Tender Management or Government Tendering.
Experience in IT Hardware, Electronics, Networking, or Government Procurement will be preferred.
Technical Skills
Hands-on experience with the GeM Portal.
Knowledge of Government Procurement procedures.
Tender Documentation.

MS Excel (Advanced), Word, PowerPoint.
Tally/ERP knowledge (Preferred).
