Job Summary
We are seeking a highly organized, proactive, and professional Executive Assistant to the Director to provide comprehensive administrative and executive support. The ideal candidate will be responsible for managing the Director's schedule, coordinating meetings, handling confidential information, facilitating communication, and ensuring the smooth execution of day-to-day business operations.
Key Responsibilities
- Manage the Director's calendar, appointments, meetings, and travel arrangements.
- Coordinate internal and external meetings, prepare agendas, and record meeting minutes (MOM).
- Screen calls, emails, and correspondence, ensuring timely responses and follow-ups.
- Draft, review, and maintain professional emails, reports, presentations, and business documents.
- Handle confidential information with the highest level of discretion and professionalism.
- Coordinate with internal departments and external stakeholders on behalf of the Director.
- Track action items, monitor deadlines, and ensure timely completion of assigned tasks.
- Organize business travel, accommodation, and expense reports.
- Maintain records, files, and important documentation in an organized manner.
- Assist in preparing presentations, MIS reports, and executive dashboards.
- Support the Director in strategic initiatives, special projects, and business reviews.
- Arrange and coordinate client meetings, conferences, and company events.
- Monitor office operations and ensure smooth administrative support to the Director.
- Perform other administrative and executive support duties as assigned.
Required Qualifications
- Bachelor's degree in Business Administration, Management, Commerce, or a related field. MBA is preferred.
- 2–5 years of experience as an Executive Assistant, Personal Assistant, or Executive Secretary supporting senior management.
- Excellent verbal and written communication skills in English.
- Strong organizational, multitasking, and time management abilities.
- High level of integrity and ability to maintain confidentiality.
