About the Role
We are looking for a Personal Assistant to the Co-Founder who can become the operating backbone of the Founder’s Office.
This is much more than a traditional administrative or calendar management role.
The Founder’s Office operates across multiple areas of the business including product and design, manufacturing, vendor relationships, retail expansion, marketing and content, investor conversations, business projects and the founder’s personal brand.
The biggest constraint in a fast growing business is often time. This role exists to protect, organise and multiply the founder’s time and effectiveness.
You will be trusted with important business and personal information from day one and will be expected to exercise strong judgement, maintain complete confidentiality and take ownership of tasks and decisions within defined boundaries.
The ideal candidate is someone who anticipates rather than waits, takes ownership of outcomes, closes loops and can operate independently in a fast paced environment.
Key ResponsibilitiesFounder’s Calendar & Time Management
- Own the founder’s calendar end to end.
- Schedule meetings, appointments and commitments based on priorities.
- Resolve scheduling conflicts and proactively reprioritise when required.
- Protect focus time and ensure that the founder’s calendar remains realistic and achievable.
- Factor travel time, preparation time and buffers into schedules.
- Ensure that important commitments and deadlines are never missed.
Email & Communication Management
- Manage and triage the founder’s inbox.
- Identify urgent, important and routine communication.
- Draft emails and responses in the founder’s voice.
- Follow up with relevant stakeholders and ensure responses are received.
- Track open communication and close loops.
- Act as an initial point of contact for internal teams, vendors, partners, investors and other external stakeholders.
Meeting Management & Follow Through
- Prepare the founder for important meetings and conversations.
- Create pre read briefs covering the people involved, relevant context, previous interactions, objectives and required material.
- Attend key meetings when required.
- Capture important notes, decisions and action items.
- Maintain a live tracker of commitments and follow ups.
- Coordinate with respective owners and ensure actions are completed within agreed timelines.
- Proactively flag delays, dependencies and issues to the founder.
Travel & Logistics
- Plan and book domestic and international travel as required.
- Coordinate flights, hotels, ground transportation and detailed itineraries.
- Manage travel logistics for store launches, vendor and karkhana visits, conferences, offsites and other business requirements.
- Coordinate visas and related documentation when required.
- Manage travel related expenses, reimbursements and expense reporting.
Cross Functional Projects
- Support and independently manage small cross functional projects on behalf of the founder.
- Coordinate with multiple teams to collect information, data and updates.
- Follow up with stakeholders and ensure timely completion of deliverables.
- Prepare presentations, reports, documents and other materials for internal and external stakeholders.
- Maintain project trackers and proactively highlight risks or delays.
Founder’s Personal Brand & Content
- Coordinate with the marketing and content teams on the founder’s LinkedIn presence and public appearances.
- Coordinate content shoots, schedules, approvals and deadlines.
- Ensure required information and materials are available on time.
- Coordinate with internal and external stakeholders involved in the founder’s content and public engagements.
Investor & Board Support
- Assist with investor and board related coordination.
- Support meeting scheduling and follow ups.
- Help maintain data room information and relevant documentation.
- Coordinate deck versions, presentations and supporting material.
- Track follow ups and commitments arising from investor and board conversations.
Personal Assistance
- Manage personal appointments and commitments as required.
- Coordinate family commitments, gifting and other personal requirements.
- Assist with household coordination when required.
- Handle all personal and confidential information with complete discretion.

Qualifications & Experience
- Few years of experience working as an Executive Assistant, Personal Assistant or similar role supporting a Founder, CXO or senior leader.
- Experience in a high growth startup, D2C, retail or consumer business is preferred.
- Exceptional written and verbal English communication skills.
- Ability to draft clear, professional emails and communications in the founder’s voice.
- Strong organisational and multitasking skills.
- Excellent calendar, meeting and task management abilities.
- Strong problem solving and decision making skills.
- Proficiency in Google Workspace including Calendar, Gmail, Docs, Sheets and Slides.
- Proficiency in Microsoft Office Suite.
- Ability to quickly learn and adopt new tools and systems.
- Working knowledge of Hindi is required for vendor and karkhana coordination.
- Marathi would be an added advantage.
- Must be based in Mumbai.
- Willingness to travel occasionally as required.
- Comfortable being responsive outside regular working hours for genuine escalations when required.
