Job Title: Podcast Guest CoordinatorOverview
We are looking for a highly organized and proactive Podcast Guest Coordinator to manage the end-to-end process of sourcing, booking, and coordinating guests for our podcast. This role is crucial in ensuring a smooth, professional, and engaging experience for both guests and hosts.
Key Responsibilities
Guest Sourcing & Outreach
- Research and identify relevant, high-quality podcast guests aligned with the show’s theme and audience
- Conduct outreach via email, social media, and professional networks
- Build and maintain a pipeline of potential guests
Booking & Scheduling
- Coordinate guest availability and schedule recordings
- Manage calendars and avoid scheduling conflicts
- Send confirmations, reminders, and follow-ups
Guest Preparation
- Provide guests with pre-recording information (agenda, format, tech requirements)
- Share briefing documents and talking points
- Ensure guests are fully prepared and comfortable before recording
Communication & Relationship Management
- Act as the primary point of contact for all guest communications
- Maintain professional and positive relationships with guests
- Handle inquiries and resolve scheduling or coordination issues
Coordination with Internal Teams
- Work closely with hosts, producers, and marketing teams
- Align guest selection with content strategy and campaign goals
- Share guest details for promotional use
Post-Recording Follow-Up
- Send thank-you messages and gather feedback
- Coordinate delivery of episode links and promotional assets
- Maintain guest database and track participation
Required Skills & Qualifications
- Strong communication in Kannada & English language
- Excellent organizational and time management abilities
- Experience with scheduling tools (e.g., Google Calendar, Calendly)
- Ability to manage multiple tasks and deadlines simultaneously
- Research skills to identify relevant guests and trends
- Attention to detail and professionalism
Preferred Qualifications
- Experience in podcasting, media, or content production
- Basic understanding of audio/video recording workflows
- Social media or marketing knowledge
