Front Office Executive
The Front Office Executive serves as the first point of contact for visitors, residents, and clients, ensuring a welcoming and professional front-desk experience. The role involves managing reception operations, handling incoming calls and correspondence, maintaining visitor records, and supporting administrative tasks. The incumbent is expected to represent the organization with a courteous and service-oriented attitude while ensuring smooth day-to-day operations at the front desk.
About the Role:
Greet and assist visitors, residents, and clients in a polite and professional manner.
Manage incoming calls, emails, and correspondence; route them appropriately to concerned departments or personnel.
Maintain the visitor management system, ensuring proper check-in/check-out records and issuance of visitor passes.
Handle inquiries, provide accurate information, and address routine concerns efficiently.
Coordinate with security, housekeeping, and maintenance teams to ensure front office and lobby areas are well-maintained.
Manage courier and mail services — receiving, recording, and dispatching as required.
Support administrative activities such as maintaining attendance registers, filing, and document control.
Schedule and coordinate meetings, conference room bookings, and visitor appointments.
Ensure all front-office equipment (telephones, intercoms, printers, etc.) are functional and report any issues promptly.
Maintain a professional appearance and uphold company standards of communication and conduct at all times.
