Job Summary
The Front Office Cum Receptionist will be the first point of contact for parents, students, visitors, staff, and other stakeholders. The role is responsible for managing the reception area, handling calls and enquiries, maintaining front-office records, coordinating appointments, and providing administrative support for the smooth functioning of the school.
Key Responsibilities
1. Front Office & Reception Management
- Welcome parents, students, visitors, vendors, and guests in a courteous and professional manner.
- Manage the day-to-day operations of the school reception.
- Maintain a neat, organized, and welcoming reception area.
- Attend to walk-in enquiries and direct visitors to the appropriate department or staff member.
- Maintain visitor registers and follow school security and visitor-management procedures.
2. Telephone & Communication
- Answer, screen, and transfer incoming telephone calls professionally.
- Respond to routine enquiries from parents and visitors regarding school timings, procedures, events, and general information.
- Take accurate messages and ensure timely communication to the concerned staff.
- Handle official emails and front-office correspondence.
- Maintain professional telephone etiquette and communication standards.
3. Parent & Student Coordination
- Assist parents with routine queries and coordinate appointments with teachers, coordinators, Principal, and administration.
- Receive and appropriately escalate parent concerns, requests, and feedback.
- Assist students approaching the front office with routine requirements.
- Coordinate with Academic, Accounts, Transport, HR, Admissions, and Administration teams as required.
4. Administrative Support
- Maintain front-office records, registers, forms, and other documentation.
- Assist with data entry, filing, scanning, photocopying, and preparation of basic reports.
- Maintain incoming and outgoing courier, mail, and document records.
- Support school events, Parent-Teacher Meetings, examinations, workshops, and other administrative activities.
- Update relevant information in the school's ERP or database, where applicable.
5. Visitor & Campus Coordination
- Monitor visitor entry and exit as per school procedures.
- Coordinate with security personnel regarding visitor access.
- Ensure that unauthorized persons do not enter restricted areas.
- Assist in maintaining a safe and professional front-office environment.
6. Additional Responsibilities
- Maintain confidentiality of student, parent, and staff information.
- Handle emergency calls and situations according to school protocols.
- Maintain front-office stationery and other essential supplies.
- Perform other duties assigned by the Principal / School Management.
Educational Qualification
- Graduate in any discipline from a recognized university.
- Candidates with qualifications in Administration, Hospitality, Communication, or Office Management will be preferred.
Experience
- 1–3 years of experience in Front Office, Reception, Administration, Customer Service, or a similar role.
- Prior experience in a school or educational institution will be an added advantage.
- Freshers with excellent communication and computer skills may also be considered.
Pay: ₹15,000.00 - ₹25,000.00 per month
