Assistant Manager / Facilities Management, HR & Compliance
Job Summary
The Facilities Management - HR & Compliance professional is responsible for overseeing workplace facilities, ensuring statutory compliance, supporting HR operations, and maintaining a safe, efficient, and compliant work environment. The role involves managing vendors, employee welfare, audits, regulatory requirements, and administrative functions while ensuring adherence to organizational policies and legal standards.
Key ResponsibilitiesFacilities Management
- Manage day-to-day facility operations, including office infrastructure, housekeeping, security, transportation, cafeteria, and maintenance services.
- Ensure optimal utilization and upkeep of office premises and assets.
- Coordinate preventive and corrective maintenance activities.
- Manage facility vendors and service providers through SLAs and performance reviews.
- Monitor utility consumption and implement cost-control initiatives.
- Handle space planning, office moves, and workplace improvement projects.
- Ensure workplace safety and emergency preparedness.
HR Administration
- Support employee onboarding and induction processes.
- Maintain employee records and HR documentation.
- Coordinate employee engagement and welfare activities.
- Support attendance, leave, and shift management processes.
- Assist in implementing company policies and HR initiatives.
- Coordinate training and development programs as required.
Compliance & Statutory Management
- Ensure compliance with labor laws and statutory regulations.
- Maintain statutory registers, licenses, and certifications.
- Coordinate internal, external, and customer audits.
- Monitor compliance with ESI, PF, CLRA, Shops & Establishment Act, Minimum Wages Act, and other applicable laws.
- Ensure contractor and vendor compliance documentation is updated.
- Conduct compliance reviews and risk assessments.
- Prepare MIS reports and compliance dashboards for management review.
Health, Safety & Environment (HSE)
- Ensure compliance with workplace safety standards.
- Conduct safety inspections and awareness programs.
- Coordinate emergency drills and incident reporting.
- Ensure availability and maintenance of safety equipment.
- Support ISO, OSHA, or other applicable compliance standards.
Vendor & Contract Management
- Manage contracts related to facility services and manpower.
- Evaluate vendor performance and compliance requirements.
- Process vendor invoices and monitor budgets.
- Negotiate service agreements and renewals.
Required Qualifications
- Bachelor's Degree in Human Resources, Business Administration, Facilities Management, Engineering, or related field.
- MBA/PGDM in HR or Operations preferred.
- Certification in Facility Management, Compliance, or Safety Management is an added advantage.
Experience
- 5-10 years of experience in Facilities Management, HR Operations, Administration, or Compliance.
- Experience handling statutory compliance and audit management.
- Experience working with multiple vendors and contractors.
