A. Job purpose
To support international business development by handling day- to-day sales and coordination tasks for export customers, ensuring timely responses, accurate documentation, and business growth. To maintain updated records, follow up on leads and orders, and help the team achieve business targets for IBD at HTF.
B. KEY ROLE TASKS
Will be responsible for identifying and developing new business opportunities in international markets, creating and implementing business plans for global expansion, managing international accounts, and driving international sales.
1. BUYER COMMUNICATION & RELATIONSHIP SUPPORT Maintain regular communication with international buyers; respond to inquiries; provide product and capability information; support buyer relationship continuity.
2. ORDER PROCESSING & VALIDATION Receive buyer orders; validate specifications, quantities, delivery requirements; create order records in Odoo; confirm order details with buyers.
3. MANUFACTURING COORDINATION & TIMELINE MANAGEMENT Coordinate with operations on manufacturing feasibility, production schedules, and delivery timelines; track order progress; communicate updates to buyers.
4. EXPORT DOCUMENTATION & COMPLIANCE Prepare and track export documentation: invoices, packing lists, certificates of analysis, compliance certificates; ensure regulatory documentation completeness.
5. LOGISTICS & SHIPMENT COORDINATION Coordinate with shipping partners; arrange freight and insurance; track shipments; provide buyers with shipping details and expected delivery dates.
6. PAYMENT & RECEIVABLES TRACKING Track buyer invoices and payment status; maintain receivables aging report; support collections followup; coordinate with Finance on payment methods.
7. BUYER FEEDBACK & ISSUE ESCALATION Log buyer complaints or quality concerns; escalate critical issues to Manager and operations; track resolution status; maintain issue resolution records.
8. REPORTING & DATA MANAGEMENT Prepare weekly and monthly IBD reports; maintain accurate buyer and order data in Odoo; ensure data quality and timely submission.
9. CROSS-FUNCTIONAL COORDINATION Liaise with operations on production updates; coordinate with quality on compliance; support Finance on receivables; assist Manager on buyer initiatives.
